PRIMARY PURPOSE

The Assistant is the primary receptionist for IS Living and is responsible for administrative support for the staff at the Lee Street Office. 

This position is an integral member of the administrative team with primary responsibilities to support all centralized communications, coordinate corporate-wide initiatives, records management and meeting/event coordination. The primary function of the administrative team is to assist our team in ensuring those we serve have opportunities to live their lives in a way which maximizes their autonomy.

ESSENTIAL AND RESPONSIBILITIES

  • Serve as primary receptionist, answering the main phone line and greeting guests to the Lee Street office. Ensure that guests and staff are greeted in a warm and efficient manner. 
  • Help to create a welcoming office by ensuring the cleanliness of common areas.
  • Maintain office supplies and equipment.
  • Exercise independent judgement necessary to carry out directive of the team, which may involve balancing competing demands, including many urgent requests.
  • Maintain and refine internal processes that support the team, coordinating internal and external resources to expediate workflow.
  • Coordinate challenging meetings/conference calls including meeting location, preparation of agendas, meeting materials, supplies, equipment, and any food arrangements. Capture and record meeting minutes as requested. 
  • Help to plan multiple staff and client activities and recreational opportunities.
  • Organize miscellaneous tasks and create opportunities for Executive-Level Leaders to address multiple open items, while managing the follow up and execution.

OTHER DUTIES AND RESPONSIBILITIES

  • Work with the administrative team to coordinate aspects of documentation including historical tracking, version control, final document production and archive management.
  • Maintain current records, coordinate and maintain record of revisions to official forms 
  • Maintain IS Living’s contact directory and assist with social media presence (i.e. Facebook) as required.
  • Participates on committees or serve as lead on at least one committee in support of corporate initiatives as opportunities arise.
  • Perform other duties as required.



MINIMUM QUALIFICATIONS AND EXPERIENCE

  • High school graduate, GED, or ability to obtain within six months of hire.
  • Must have excellent organizational skills, and strong oral and written communication skills.
  • Must independently navigate challenges, prioritizing multiple requests and have a great, positive attitude while doing it.
  • Must be resourceful, driving successful outcomes even from minimal information. Will need to invent processes and consistently deliver on them without direct oversight.
  • Must be proficient with Microsoft Office suite including Excel, Word, and Outlook.
  • Strong ability to multitask and produce quality work while meeting time commitments and providing excellent collaboration and customer service.
  • Should be able to take control of various situations independently as they arise.
  • Must to be able to work independently, motivate others, and meet deadlines.
  • Must have completed the two shot Covid-19 vaccination series two weeks before your start date. 
  • Must be willing to submit to a background and drug test as required by the State of Oregon. 

PREFERRED QUALIFICATIONS AND EXPERIENCE

  • 2 years of experience, progressively responsible various Leadership support experience is highly desirable.
  • Previous calendar management and event planning background preferred.
  • Experience with social media or technology a plus.
