ORGANIZATION

Founded in 1984, Portland Baroque Orchestra is the third-largest period performance orchestra in the United States. PBO specializes in works of the Baroque and Classical eras, but also explores the musical world outside of those time constraints, performing with period instruments or replicas of instruments that were available when the music was composed. This means that our concerts feature familiar instruments that may look or sound a little different (for example, violins with gut strings or flutes made of wood and bone) as well as instruments that are no longer a part of the modern orchestra (like the theorbo). The orchestra thrives on spontaneity, playfulness, and extraordinary artistry.

PBO offers approximately 35-40 events to the public annually, including concerts, education events, donor engagement events, and more. We maintain a high standard for customer service. We believe that this customer-focused culture engages audiences and attracts and retains subscribers and donors. In the COVID-19 pandemic, PBO launched Great Arts. Period., a digital concert hall, livestreaming studio, and film production department dedicated to the performing arts. In the post-COVID world, PBO is committed to continuing its work both in the concert hall and on the internet.

POSITION SUMMARY

The Patron Services & Data Specialist is a full-time exempt position that serves as the primary point of sales and service for Portland Baroque Orchestra (PBO) subscribers, ticket buyers, and donors, both in the administrative office and at all performances and events. The Patron Services & Data Specialist is expected to work regular office hours as well as some evenings and weekends, as necessitated by the concert and event schedule of PBO. The position holds primary responsibility for the ticketing software and CRM database. As one of PBO’s patron-facing employees, this position holds secondary responsibility for phones. The Patron Services & Data Specialist reports to the Director of Patron Loyalty and assists the Development Director on a project basis.

REPORTS TO: Director of Patron Loyalty

DUTIES AND RESPONSIBILITIES

Ticketing & Box Office (50%)

Implement subscription and ticket sales campaigns, working with the Director of Patron Loyalty (DPL).

• Program all events into the ticketing system (currently Arts People).

• With DPL, create and execute campaigns for new and renewing subscribers.

• Implement customer-service-related policies and practices including subscriber benefits, ticketing policies, comps, and exchanges.

• Manage ticket inventory (including general availability, strategic holds, dynamic pricing, and section mapping) for all PBO concerts and events.

• Seek out and retain group-sales clients.

• Work with DPL to develop and execute methods for reporting on sales vs. budgets, evaluating and improving customer retention, and patron relationship development.

Development Support & Donor Relations (20%)

With the Development Director (DD), execute solicitation and stewardship initiatives that are targeted, timely, and accurate.

• Work with the DD to proactively plan patron and donor communications including individual customer service as well as direct mail and email campaigns.

• Serve as primary proof-reader for outgoing materials, including letters, grants, brochures, and other communication.

• Manage a timely and highly personalized donor acknowledgement process, including generating and editing thank you letters and receipts.

• Prepare regular donor recognition lists for publication.

• Provide warm and professional customer service, helping patrons with questions, donations, and accessing online concerts.

Institutional Data Management (20%)

Oversee institutional record keeping for efficiency and accuracy.

• Optimize data management and systems including maintaining patron contact information, preferences, donation and ticket processing, and ensuring PBO data solutions are updated regularly.

• Hold primary responsibility for data integrity and the creation of all lists and reports from database systems.

• Document processes and train others as needed.

• Support PBO in the exploration of new solutions and technology that will aid in our daily activities and tasks.

Events (10%)

Ensure excellent patron experience at all PBO concerts and events.

• Manage on-site box office and sales activities at all events, including ticket sales and will call, seating set up, signage, check-in and check-out, tabling, etc. and, at times, act as the point of contact for Front of House staff.

• Transport box office and event supplies to and from events.

• With PBO’s team create a welcoming, positive environment for patrons and provide onsite customer service.

• Participate in planning and implementation of fundraising, thank you, and volunteer recognition events as needed.

TRAITS AND CHARACTERISTICS

The Patron Services and Data Specialist will possess a proactive work style and keen interest in creating efficiencies and working in a collaborative environment to support PBO in its evolution as a world class period orchestra. They will be enthusiastic about the arts and building a relationship with in-person and online digital audiences. The selected individual will leverage a proven track record of customer service and a top-notch attitude to maximize PBO’s earned revenue and aid in increasing individual donations over time. The right candidate is extremely detail and deadline oriented and holds themselves to a high standard. They are punctual and reliable, willing to ask questions and explore process improvement, and are passionate about clean data.

QUALIFICATIONS

• Excellent customer service skills, with demonstrated ability to work with people in a variety of settings, including patrons, donors, volunteers, board members, contractors, and other PBO staff.

• Excellent communication skills, with a strong attention to detail and an enthusiasm for managing and prioritizing multiple projects effectively.

• A valid Oregon driver’s license is required.

Experience with box office software, donor management software/CRM, and Microsoft Office suite (specifically Word, Excel, Outlook, and PowerPoint), and the ability to learn new technologies. Advanced Excel experience a plus.

Physical Requirements and Working Conditions

Work environment:

• Office: 610 SW Broadway Suite 605. The Patron Services and Data Specialist’s desk is in a large office with a door. The office is shared with a part-time music librarian.

• Concert venues: Kaul Auditorium at Reed College, Trinity Episcopal Cathedral, and others.

• Other event spaces in Portland, Oregon, including private homes and businesses.

Work hours:

• Non-event weeks: Monday through Friday, 9:30am-5pm.

• Event weeks (10-12 weeks per year): Regular business hours plus concerts on Friday and Saturday evenings and Sunday afternoons (event schedules can vary; this is included as a general guideline). Events generally occur from October through December and from February through June.

COVID-19 POLICY

Portland Baroque Orchestra requires all employees to be up to date on all COVID-19 vaccinations. When multiple staff members are in the office, all employees are required to be masked.

COMPENSATION AND BENEFITS

$45,000-50,000 annually, commensurate with qualifications and experience. Also includes a standard benefits package including health and dental insurance (100% employer-paid for employee only); 10 paid vacation days, 5 personal days, sick leave, and standard-plus annual holidays (approximately 12 days per year); 401(k) retirement plan after one year with an employer contribution and match; and the joys of a work environment with a great deal of camaraderie and opportunity for professional development.
