Position: University Relations Coordinator 

Unit: University Relations, School for International Training (SIT)

Reports to: Director of University Relations 

Salary Range: $40-44k

Location: Washington, DC or Brattleboro, VT


General Description 

The University Relations Coordinator provides project management and administrative support for the University Relations Department. This position is exposed to various aspects of recruiting and outreach, partnerships and affiliations, custom programs, and team operations such as maintaining updated partner school records, organizing meeting agendas, monitoring a departmental calendar, etc. This position ensures university relations managers are supported during their heavy recruitment season by ensuring registrations are completed, check requests are processed timely, fair materials are requested and shipped, and that day-to-day departmental processes run smoothly. This position will also monitor and process the Custom Programs and University Relations email inboxes and will use a variety of technologies to support the team.


Primary Responsibilities

  • Assist University Relations Managers in preparation for attendance at study abroad and graduate school fairs and other on-campus events. This may include monitoring registration deadlines, processing registration fees and event payments, fulfilling shipment requests of materials, and completing any post-event tasks.
  • Provide administrative and materials support for sponsored events with partners, at conferences, and other forms of outreach and special events, including scheduling meetings, making room reservations, managing catering, preparing event deliverables, making travel arrangements, and processing event-related expenses. 
  • Responsible for maintaining an organized and adequate stock of SIT promotional assets.
  • Responsible for routine and regular data updates in Salesforce, data-entry tasks, and projects to support senior leadership and the University Relations team. Requests may include research, updating records, departmental resources and generating reports, or other tasks as needed.
  • Supports administration of and communication with the SIT Partnership Council, including scheduling monthly meetings, distributing agenda and minutes, maintaining Teams site, responding to member’s requests.
  • Serves as team’s subject matter expert in financial management system (Intacct); to include vendor management, the check request process, and purchasing orders.
  • Produce concise and accurate meeting notes for departmental meetings.
  • Create marketing emails and assist University Relations in other marketing initiatives. 
  • Monitor and process shared inboxes, responding professionally to requests and questions.
  • Participate in ongoing training and professional development. Preference given to areas where the incumbent has interest and wishes to pursue additional development. 
  • Perform other duties as assigned by supervisor or their designee




  • Two years of related professional experience working within an organization and supporting a team
  • Strong working knowledge of office operations, policies, procedures, and standard office equipment. Software proficiency in Microsoft Word, Excel, PowerPoint, Teams is required; knowledge and experience in Salesforce and Intacct is preferred. High level of comfort with technology and an interest in utilizing new technologies to increase efficiency.
  • Ability to work as part of a team as well as independently and remotely.
  • Strong organizational skills, attention to detail, and successful experience handling multiple tasks 
  • Excellent interpersonal oral, and written communication skills in English
  • Ability to take on new tasks and learn skills when needed. Flexibility, self-motivation, and a positive attitude


Physical Demands

  • Frequently moves and lifts boxes weighing up to 40 pounds

  • This position is based in Washington, D.C. or Brattleboro, VT
