    Position Summary

    The Finance & Grants Manager will play a critical role in managing the organization’s financial health and ensuring compliance with government, foundation, and corporate funding requirements. This position combines financial management with grants administration and works closely with program, development, and executive staff to ensure strong fiscal stewardship and accurate reporting.

    The Finance & Grants Manager will oversee grant budgets (pre- and post-award), track revenue and expenses, prepare timely financial reports, ensure compliance with GAAP and funder requirements, support audits, and provide leadership on financial systems that strengthen organizational sustainability.

    Financial Management

    • Oversee day-to-day financial operations including accounts payable, accounts receivable, payroll allocations, and reconciliations.
    • Maintain the general ledger and ensure accurate recording of revenues, expenses, and restricted funds.
    • Prepare monthly and quarterly financial reports (Budget vs. Actual) for leadership and board review.
    • Support cash flow forecasting and scenario planning in partnership with the Executive Team.
    • Ensure compliance with Generally Accepted Accounting Principles (GAAP) and nonprofit accounting standards (FASB).

    Grants & Contracts Management

    • Manage the full lifecycle of grants and contracts (federal, state, city, foundation, and corporate).
    • Coordinate pre-award activities including budget preparation, review of RFPs, and submission of applications with program and development staff.
    • Monitor post-award grant spending, ensuring expenses align with approved budgets and allowable costs.
    • Prepare and submit timely and accurate invoices, vouchering, and financial reports to funders.
    • Track all grants in a centralized system; maintain supporting documentation for compliance and audits.
    • Lead communication with funders on financial matters, addressing inquiries and resolving disallowances.
    • Support budget modifications and reforecasts to maximize funding utilization.
    • Oversee grant close-out processes, including reconciliations, final reporting, and equipment/funder inventory tracking.

    Audit & Compliance

    • Support annual independent audit, Single Audit (if applicable), and funder audits.
    • Prepare audit schedules, supporting documentation, and respond to auditor/funder requests.
    • Ensure adherence to Uniform Guidance (2 CFR 200) and other applicable regulations for federal awards.

    Collaboration & Leadership

    • Partner with program staff to review financial performance and provide training on grants compliance and budget monitoring.
    • Work with HR/payroll to ensure proper allocation of staff time and effort across grants.
    • Provide financial insights to development staff during proposal development and reporting.
    • Recommend process improvements to strengthen internal controls, efficiency, and transparency.

    Qualifications

    • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
    • Minimum 4 years of nonprofit finance and grants management experience, including government contracts.
    • Strong knowledge of GAAP and nonprofit accounting (experience with fund accounting required).
    • Hands-on experience with federal, state, and city grants (e.g., DYCD, DCLA, etc.).
    • Proficiency in accounting software (QuickBooks or equivalent) and advanced Excel skills.
    • Excellent organizational, communication, and problem-solving skills with keen attention to detail.
    • Ability to work collaboratively across departments and meet deadlines in a fast-paced environment.
