The Torture Abolition and Survivors Support Coalition International (TASSC) is a non-profit organization dedicated to ending the practice of torture and supporting survivors as they rebuild their lives. We provide direct services to survivors in the Washington, D.C. region and aim to foster independence, self-sufficiency, and healthy futures.
TASSC is seeking an Operations Specialist & Program Coordinator to ensure smooth daily operations and program coordination, supporting survivors through our social, psychological, legal, career development, and advocacy programs.
Position Overview:
The Operations Specialist & Program Coordinator is a hybrid role that combines administrative responsibilities with program coordination. This individual will play a crucial role in maintaining efficient organizational operations while supporting the planning and execution of TASSC's survivor support programs and advocacy initiatives.
Primary Responsibilities
- Program Coordination
- Collaborate with the Executive Director and team members to plan, execute, and assess survivor support programs, advocacy campaigns, and awareness initiatives.
- Lead workshops, training sessions, and events to empower survivors and promote public understanding of torture and survivor rights.
- Coordinate with legal and mental health professionals to ensure survivors receive comprehensive, wraparound care and assistance.
- Support TASSC’s programs by developing materials and resources that enhance the effectiveness of these initiatives.
- Operations Management
- Assist the Executive Director with administrative tasks, manage schedules, arrange meetings, and handle internal and external communications.
- Manage daily administrative operations, including procurement, vendor interactions, office supplies, and inventory management.
- Develop and implement office protocols, procedures, and record management systems to maintain a structured work environment.
- Oversee facility management to ensure a welcoming and productive office environment.
- Financial Oversight and Reporting
- Support bookkeeping and financial record-keeping tasks, including processing payroll, vendor invoices, and insurance-related paperwork.
- Collaborate with the Grant Manager to create financial reports for internal and external stakeholders.
- Track and report employee work hours (attendance, sick leave, vacation, etc.) and ensure accurate reporting to payroll services.
- Assist with coding and tracking expenses against the fiscal year budget, working closely with external bookkeepers and accountants.
- Fundraising and Donations
- Enter individual donations into TASSC’s donation database and generate thank-you notes.
- Liaise thank-you emails between donors and the Fundraising contact person at the Board of Directors level.
- Assist in managing the grant review process, attending grant meetings, and compiling necessary attachments for grant applications.
- Communications and Outreach
- Develop and disseminate informative materials, press releases, and social media content to amplify TASSC's mission and engage a wider audience.
- Manage TASSC’s social media accounts and website, ensuring that content is current, engaging, and aligned with TASSC’s mission.
- Establish and maintain relationships with partner organizations, government entities, and community stakeholders to expand TASSC's impact.
- Respond to inquiries received through TASSC’s general email account.
- HR Support
- Assist in developing office protocols and procedures, including setting up email systems and onboarding orientations for new hires.
- Maintain HR files and ensure that staff work hours, attendance, absence, sick leave, and vacation records are up-to-date and reported accurately.
- Process payroll and insurance-related documentation, ensuring compliance with organizational policies and procedures.
- Administrative Support
- Attend and participate in meetings, including weekly staff meetings, grant-related meetings, and event planning sessions.
- Provide administrative support to the Executive Director, including managing schedules and communications with donors, partners, and the Board of Directors.
- Serve as the first point of contact for visitors and guests, ensuring a welcoming environment both in the office and online.
- Event Logistics and Miscellaneous
- Support the logistical planning and execution of events and workshops, including fundraising events and awareness campaigns.
- Facilitate communication between TASSC staff, the Executive Director, and the Board of Directors.
Job Requirements & Qualifications
- Bachelor’s degree in organizational management, business administration, social work, human rights, or related fields; an advanced degree is preferred.
- At least 4 years of experience in nonprofit organizational management, operations, or program coordination.
- Experience in human rights, migration, or refugee-related NGOs is highly desirable.
- Familiarity with bookkeeping, financial oversight, and HR procedures.
- Excellent verbal and written communication skills, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Knowledge of trauma-informed service provision and experience working with immigrant populations is a plus.
- Fluency in languages such as Arabic, Amharic, or any other East/West African dialects is preferred but not required.
- A commitment to learning about the effects of torture on survivors, families, and communities.
- High level of cultural sensitivity, respect for diversity, and confidentiality when working with survivors of torture.
