Position summary

The Praxis Project is seeking an experienced Controller to oversee its accounting functions and Finance Team. The Controller is responsible for directing the cash receipts process, the restricted grant process, and month-end close processes for Praxis. The Controller ensures optimum compliance with generally accepted accounting principles in completion of these areas of responsibility; the efficient and effective use of internal controls; and regular application of best practices. The Controller will have supervisory responsibilities over three accounting staff members and is a close partner to our Associate Director and Fiscal Sponsorship & Capacity Building team members.

This is a full-time (40 hours per week), benefits eligible, exempt, permanently remote position. The Controller works four to five days per week and schedule flexibility day-to-day is available, though close coordination with our other team members and external partners is an important job function. If the Controller is based in the San Francisco Bay Area they will also have the option to work from our office space in Oakland, but this would not be required.

The salary range for this position is $105,000-$115,000 per year and the final salary will be based on experience, qualifications, and local cost of living where our final candidate is based. We use Nonprofit Compensation Associates compensation survey data for the San Francisco Bay Area and Bureau of Labor Statistics and other reputable indices to adjust for cost of living. Praxis provides regular cost-of-living pay changes and above-standard, substantial employee benefits beyond salary, taking a holistic approach to setting compensation.

Duties and responsibilities

Accounting receivable and accounts payable

·       Oversee day-to-day AP and AR processes executed by team members, including cash receipts, revenue recognition, donor acknowledgement, revenue source coding, bill payment, and corporate credit cards.

·       Maintain admin status in ancillary accounting systems for AP and AR.

·       Supervise inter-account transfers.

·       Assess and improve efficiency, ease, and automation of tasks, systems, and activities.

·       Maintain system of internal controls and safeguards for receipt of revenue, costs, and program budgets and actual expenditures.

·       Regularly audit and review transactions for accuracy and integrity.

·       With the Associate Director, develop and propose updates and improvements to our policies and procedures.


Restricted grant and contract accounting

·       Supervise the operations and integrity of our systems used to track and manage spending over the life cycle of each of our potentially hundreds of restricted grants and contracts.

·       Ensure proper accounting of restricted grants in accordance with FAS 116.

·       Ensure proper accounting for all government grants in accordance with relevant OMB circulars.

·       Oversee accounting for all restricted grants including allocation of overhead and indirect costs.

·       Ensure timely reconciliation of all restricted grants, working with Accounting Associates and program and project leads to address any over or underspending on grants and to prepare reports.

·       Conduct monthly restricted grant meetings with Accounting Associates to review status of all restricted grants and meet with program and project contacts as needed.


Month-end close

  • Responsible party for the month-end close process including bank account, credit card account, and investment account reconciliation for Praxis and its fiscally sponsored projects.
  • Manage the general ledger, closely reviewing transactions.
  • Responsible for proper completion of additional balance sheet account reconciliations related to the cash receipts and restricted grants processes including accounts receivable, deferred revenue, etc.
  • Manage the communication and reporting related to month-end close.
  • Supervise monthly financial statements preparation for Praxis and its fiscally sponsored projects.


Annual, quarterly, and ad hoc processes

  • Responsible for the coordination of the year-end audit process and annual IRS Form 990 process, including communicating with the external auditors, distributing audit requests to relevant staff, and ensuring that all audit requests are fulfilled.
  • Work closely with relevant staff on annual data collection related to cause marketing partners, commercial co-ventures, professional fundraisers, etc.
  • Work closely with the Associate Director and external compliance service providers on reporting of all fiscal year-end data across the audited financials, the Form 990 and state solicitation registrations.
  • Support Associate Director and Executive Director with annual organizational budgeting and reforecasting processes and present budgets and financial statements and analysis to the Board of Directors.
  • Support Associate Director in coordinating and staffing the Finance Committee of the Board.
  • Other duties as assigned.


Leadership and supervision

·       Supervise current team of three and manage future recruitment to grow the team.

·       With the Associate Director, lead the finance team in effective support of the organizations’ finance needs.

·       Hold team meetings and check-ins.

·       Communicate duties and responsibilities to team and monitor performance.

·       Support team members in their professional development.

·       Provide regular coaching and counseling.

·       Manage the allocation of tasks among team members and coordinate and supervise additional temporary staffing as required.

·       Mediate any intra-team and Praxis-partner conflict regarding accounting operations, with the Associate Director as needed.


General roles

  • Works collaboratively with administrative and programmatic staff and external partners to achieve overall Praxis goals. 


Required qualifications: education and experience

·       BA/BS degree or AA/AS degree, or equivalent training, plus a minimum of seven years of accounting experience, inclusive of a minimum of five years’ increasingly responsible nonprofit accounting experience.

·       At least two years of staff supervision experience working with multiple direct reports.

·       Experience accounting for government grants and contracts, preferably federal.


Desired qualifications: education and experience

·       CPA license, master’s degree in accounting, or similar advanced credentials or certifications.

·       Experience implementing significant new financial systems, policies, and procedures.

·       Experience with comprehensive fiscal sponsorship or multi-entity accounting.

·       Extensive government/federal grants and contracts experience.

·       Investment management experience.


Required qualifications: skills, knowledge, and abilities

  • Expert proficiency in Microsoft Excel.
  • Expert proficiency in Sage Intacct or equivalent accounting software.
  • Demonstrated ability to keep confidential and sensitive information in the highest confidence.
  • High degree of professional integrity and dedication to ethical work practices.
  • Excellent, culturally competent communication skills.
  • Experience and interest in working with diverse populations and communicating financial concepts and regulations to a wide variety of audiences.
  • Some awareness of how capitalism and white supremacy have shaped the nonprofit and philanthropic fields and professional norms and standards in accounting is required.
  • Superior organization and time management skills.
  • Exceptional customer service and diplomacy skills.
  • Precise attention to detail.
  • Comfortable and capable of working with constant change and on multiple projects simultaneously.
  • Ability to remain calm and composed under pressure, and to communicate courteously and professionally during tense situations.
  • High degree of emotional intelligence, curiosity, and openness.

Mental and physical demands

  • Fast-paced work environment.
  • High level of concentration and attention to detail required.
  • Time speaking and listening: (range 25–50%).
  • Occasional travel (about one trip per quarter, when safe) including overnight travel is required.
  • Praxis currently works remotely both as an internal team and with our partners based across the United States and internationally. Leading and participating in remote video and telephone conferences is required.
  • Valid driver’s license, clean driving record, and insurance is required for employees driving on Praxis business; driving record checks may be required as well.
