Definition
This is a highly specialized work serving as the assistant to the executive office. This individual will assist and support the Chief Executive Officer and this office within the plans and objectives of the
President to ensure the overall success of OIC of America and its mission. This position requires administrative ability, exceptional organizational skills, and the ability to complete assignments within a narrow time frame. Work involves compiling data for reports and proposals, analyzing unit objectives, and interpreting data. Additional responsibilities include but are not limited
to making travel arrangements via air and ground, scheduling hotel reservations, etc. This position also functions as a liaison between the National Executive Board of Directors as requested by the President and Chief Executive Officer, in obtaining facts, rendering input, making analyses and/or evaluations, and keeping the chief executive officer informed of events and activities
pertaining to it. Some travel may be necessary. Work is performed under the direction of the President and Chief Executive Officer.
Duties
1. Coordinates the office of the President and Chief Executive Officer. Screens incoming telephone calls and visitors to the Office of the President.
2. Provides most of the administrative support to the President and Chief Executive Office. Prepares special reports, presentations, and proposals, as well as maintain an efficient filing system.
3. Coordinates official and personal schedule of the President and Chief Executive Officer and management, as designated.
4. Serves as liaison for the OICA National Board of Directors to handle logistics (hotel/travel arrangements, conference calls, etc.) and facilitate meetings, finalize schedules, records
and transcribe minutes, compose letters, and attends official sessions.
5. Coordinates special projects, programs, special committee, and conference activities as required.
6. Performs related duties as delegated, assigned and required.
Qualifications
A degree from a four (4) year accredited college or university, business school graduate
or equivalent experience. Competent writing and communication skills are necessary,
in addition to five (5) years of experience in a major administrative, operational,
or technical-related area. Must be able to perform critical thinking and detail
analysis when necessary. Familiarity and a working knowledge of organization
policies and procedures, recognized practices, theories, techniques, and
methodology of management are required. Must be proficient in Microsoft Office
suite. For travel, a valid driver’s license and credit card are required.
