General Description:

The Urban Peace Institute (UPI) is seeking a qualified (Senior) Finance and Operations Associate to support the implementation of financial systems, contract administration, and operational infrastructure which includes management of financial database systems, managing receivables, maintaining payment and invoices systems, etc. This includes areas such as data input, entry-level bookkeeping, IT system maintenance and equipment acquisition, communication with external stakeholders, vendors and institutions, and more. Reporting to the Finance Director, this position supports the organization in accounting for core and project operations and other related activities as assigned. The ideal candidate is an experienced finance and operations professional, highly organized, attentive to details, with excellent communication skills, and a passion for social justice within communities of color.

Responsibilities include, but are not limited to:

Financial Management

• Lead and support administrative processes, such as contracts and document management.

• Support all financial transactions and data entry into QuickBooks and other finance platforms.

• Process invoices and prepare checks for signature on a weekly basis.

• Maintain staff credit cards, including coordinating with staff to facilitate receipt collection and ensuring proper account coding.

• Support the maintenance of proper financial records and ensure accurate data input for payment, invoice submissions, and recordkeeping.

• Coordinate the execution of quarterly closes with external accountant and consult with external accountant on any complex accounting issues.

• Support budget management throughout the year, including monitoring spending, providing reports to staff, and building staff members’ budgeting skills.

• Support annual audit and Form 990 filing process.

• Work with Finance Director to ensure project finances are accurately reflected in the general ledger, which include preparing/posting journal entries and monitoring funder code/subaccount activity

• Work with appropriate staff to review and/or develop grant and operational budgets as needed.

• Assess risk of program activities and help ensure proper nonprofit compliance with laws, policies, and best practices for financial management

• Assist with review of project financial performance (project status) to evaluate the financial health of contracts/grants and assess financial warning signs

• As needed, assist with reviewing new contract/grant proposals and reporting.

Operations and Administration

• Support relationship with PEO and facilitate staff reimbursements and onboarding of new staff.

• Promote a people-centered workplace culture of teamwork.

• Coordinate staff trainings in compliance with city, state, and federal law.

• Serve as the go-to person for all administrative and technology issues.

• Proactively maintain quality of current administrative and technology systems (IT), ensuring stability, health, and efficiency.

• Conduct ongoing evaluation of all administrative and technology practices to assess needs, improve workflows, and manage organizational risk. Submit nonprofit legal filings as required by city, state, and federal law.

• Maintain and ensure compliance with contracts and leases.

• Serve as secondary contact for insurance policies.

• Identify and procure new equipment, office supplies, and software, arrange for equipment repair, and ensure accurate tracking and management of assets.

• Coordinate ongoing office maintenance and manage relationships with landlord and vendors.

Organization-wide Responsibilities

• Participate in organization-wide events.

• Other duties and special projects as needed.

Qualifications:

• Demonstrated commitment to social justice and a disposition to work in an organization focused on civil rights and racial equity;

• Demonstrated ability to work effectively with diverse people across the spectrum of socio-economic status, race, ethnicity and gender orientation;

Essential Qualifications

• Bachelor’s degree in accounting, finance, or business-related field or equivalent experience.

• At least two years of professional experience, experience in nonprofit or government sector a plus

• Experience administering federal and other public grants and contracts.

• Experience with nonprofit budgeting and administrative functions.

• Proficiency in Excel, including use of formulas and other features.

• Ability to develop multiple budgets, analyze financial statements and data, and collaborate with program staff to align the program services with the grant allocation.

• Advanced word processing skills and proficiency in accounting software and the Microsoft Office suite programs. Experience with QuickBooks.

• Exceptional orientation to detail and obsession with accuracy.

• Passion for improvement of systems and processes, even when no one is looking.

• Excellent communication and collaboration skills.

• Strong ability to work independently and excellent time management skills.

• Passion for UPI’s commitment to issues of social justice and community-based public safety.

• Ability to work well in a team environment and maintain a high degree of confidentiality due to the nature of the position.

• Excellent client service and professional demeanor in communicating with staff members at all levels throughout the institution, as well as with vendors and others.
