JOB SUMMARY  

The Grants Assistant will provide general customer service and administrative support to programs of the National Trust dedicated to providing essential funding to grassroots organizations. This program provides equitable access to organizations working to preserve, protect, activate, and interpret historic places in ways that build vibrant and sustainable communities and that help tell the full American story. 

DUTIES

  • Field phone calls and triage emails that come to a general grants Inbox. (The number of inquiries varies per month, but heavy volume can be anticipated leading up to all grant application deadlines.) 
  • Assist applicants and grantees in accessing the National Trust’s online grant system.   
  • Assist in the creation of grant award and rejection letters and grant contracts.
  • Process requests for National Trust Preservation Fund (NTPF), African American Cultural Heritage Action Fund, Fund for Sacred Places, and other grant program payments in a timely manner. Work with Finance Division team to establish new vendors in our payment system as needed.   
  • Maintain electronic files for awarded NTPF grants using an online grant management system.  
  • Screen all submitted NTPF applications to ensure the application is eligible and complete. Follow-up with applicants if additional information is needed. 
  • Assemble and organize the review materials and background for external grant review committees.  
  • Other duties as assigned.   

QUALIFICATIONS  

  • Some administrative work experience required, with experience in a customer service-oriented non-profit or business administration setting preferred.
  • Experience related to grants administration, and familiarity with or interest in historic preservation, architectural history, or related arts & cultural work, are plusses. 
  • Excellent writing, spelling, grammar, and proofreading skills, as well as strong verbal communication and customer service skills. 
  • Strong organizational skills and attention to detail.
  • Experience successfully interacting with key stakeholders. Ability to collaborate and achieve results, with close supervision.
  • When working in the office, public contact and ability to work successfully in close proximity to others required. When working off-site, ability to work effectively in a remote environment, maintaining productivity and communications to meet deadlines and goals, is required.
  • Demonstrated success in working with culturally diverse colleagues and stakeholders. Bi-lingual language skills a plus.
  • Ability to prioritize, multi-task efficiently and respond to a high volume of ongoing requests in a timely fashion. Ability to adapt and be flexible in a dynamic work environment. Ability to work effectively with frequent interruptions required. Able to handle frequently changing and/or unscheduled tasks with accuracy.
  • Entrepreneurial spirit and skill set a plus.
  • Ability to continually develop skills related to use of rapidly changing technology and communications best practices.
  • Proficiency with Microsoft Office products required, including Outlook, Teams, Word and Excel. Experience with Foundant, or similar grants-management or CRM databases, a plus.
  • Regular and reliable attendance is required.

PAY & BENEFITS

This is a full-time, non-exempt-level position, eligible for full benefits, including affordable health, dental, vision and life insurance, retirement plan contributions, and 3.5 weeks of paid vacation, plus sick time and holidays.  

 Due to the COVID-19 pandemic, this and most other National Trust positions at our DC headquarters will continue to work remotely for the foreseeable future (currently projected through December 2021). 

 The National Trust has recently implemented a policy requiring all staff to show proof of vaccination by October 31 or their hire date (with limited exceptions for religious or medical reasons.)  

Hiring range: $40,000-$42,000 per year (based on an hourly rate of about $22.00-$23.00 and schedule of 35 hours/week).
