Position Summary

The purpose of this position is to provide a welcoming space for our neighbors seeking to access services and help the day-to-day activities of the organization run smoothly. The person in this position is responsible for handling front office reception and administration duties, including greeting guests, volunteers, and neighbors, answering phones, managing inquiries, and providing information about the services and community resources available to neighbors. The impact of this position is that it is the “face” of the organization and an opportunity to build rapport so that individuals feel that they are welcomed, they belong and will be assisted with respect and compassion. 


Essential Duties and Responsibilities 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Greet clients, volunteers, and guests while setting a positive office atmosphere.
  • Answer the main phone line for the organization, take messages, and redirect calls to appropriate offices. Update main phone line voicemail with timely information.
  • Ensure neighbors are notified of service changes including holiday closures in a timely and thorough manner.
  • Answer inquiries about North Helpline.
  • Coordinate client services volunteer schedule, outreach, and recruitment.
  • Assist with identifying and ordering translation of documents in our top languages.
  • Assist with identifying community organizations for tabling at both of our sites.
  • Contribute to the planning, organization, publicity and coordination efforts for events with neighbors.
  • Organize and maintain electronic files and records; update when necessary.
  • Generate monthly, quarterly and annual reporting, as well as create new reporting templates.
  • Prepare outgoing mail (envelopes, packages, etc.)
  • Attend to client, volunteer, and donor needs through information requests and/or referrals and the variety of services offered.
  • Assist the Client Services team to meet its strategic plan goals.
  • Other Duties as assigned.

  • Intermediate computer skills in Microsoft and Google suite of tools.

Education & Experience

1 to 3 years of relevant experience with the majority of the following between a combination of education and professional roles:

  • Familiarity with serving populations who may be food and/or housing insecure.
  • Familiarity with organizing volunteers is preferred.
  • Familiarity with customer service.
  • Knowledge of community programs, services, and resources.
  • Familiarity with the Google ecosystem (Google Sheets, Docs, Drive, etc) and Microsoft ecosystem (Excel, Word, PowerPoint, etc).
  • Familiarity with moderate computer functions within the Windows OS ecosystem.
