Work Schedule: Full Time 40 hours M-F 8:30-5:00 with some flexibility on schedule. Future hybrid/remote schedule opportunities.

Compensation: $20.00 hour

Hopelink programs and services focus on 5 key areas: Food, financial & energy assistance, housing & family development, adult education & employment and transportation/mobility. We are the largest nonprofit organization in the Eastside area, every year we serve over 65,000 homeless and low-income families, children, seniors and people with disabilities, and have been since 1971. Programs are aimed at helping people achieve stability and helping them gain the skills and knowledge they need to exit poverty for good.

Summary:

The Community Services Food Program Coordinator II provides administrative support to management and program staff and coordinates program activities designed to help participants gain stability with food and other necessary items. Maintains a detailed understanding of program functions, policies, and procedures; serves as key contact person for program contracts, reporting and data. The ideal candidate brings a passion for program coordination in social services and is excited to join a team in solving the challenges of food insecurity. Members of BIPOC (black, indigenous, people of color) communities, or people who have personal experience in historically marginalized and excluded communities are especially encouraged to apply.


Essential Functions:

·        Coordinates office operations; implements departmental operating policies, procedures and systems, assuring conformance with agency policies and objectives; assists with administrative tasks involving personnel.

·        Initiates completion of regularly recurring reports and standard correspondence; maintains program records, making periodic audits as necessary; maintains follow-up system or reports requiring action on a periodic basis; sets up and maintains records management system. Tracks budget items, office supply orders, and credit card receipts.

·        Prepares grants, monitors contracts and tracks outcomes. Coordinates subcontracting processes for joint grant processes including the development of subcontracts, tracking of all contract expenses, billing, payment, and contract monitoring and compliance. 

·        Works closely with the Client Data Team and Outcome and Evaluation Analyst to ensure that Program Coordinator systems integrate seamlessly with data tracking and reporting systems.

·        Processes forms, notices, orders, lists, purchase orders to support program activities; maintains office inventory.

·        Serves as key contact person and liaison with other departments, staff, other agencies, and the community; coordinates dissemination of information as appropriate.

·        Arranges, schedules, and prepares for meetings, workshops, training sessions, and the like; compose agendas, assembles materials, reserves sites, takes minutes as required.

·        Supports Food Program Director and Food Program Manager; provides information regarding established services or processes.

·        Represents the program on agency committees as needed

·        Occasional travel between sites to provide backup administrative support to other Service Centers and Food Market coverage as needed

·        Other duties as assigned.

·        Maintains confidentiality of sensitive and confidential materials.

·        Communicates effectively, both orally and in writing, with clients, other employees, and the general public using tact, courtesy, and good judgment.

·        Regular attendance and punctuality are essential to our business and to this position.

·        Coordinates supplementary seasonal food programs such as End Summer Hunger, Kids Need School Supplies and Holiday Gift Room


Desired Qualifications:

·        AA degree in social services, business, or public administration, or related field or an equivalent combination of education and related work experience.

·        2+ years administrative experience.

·        Attention to detail, multitask and work independently with accuracy.

·        Intermediate skills in Microsoft Outlook, Word, Excel, and Power Point. Knowledge of database systems as needed for data entry and reporting.

·        Experience facilitating team meetings or trainings is desired

·        Experience coordinating team workplans and calendars is a plus

·        Occasional use of personal vehicle to travel among Hopelink sites

·        Must be able to lift 30 pounds on an occasional basis.

·        Work involves standing, walking, stooping, talking, reaching, sitting, bending, kneeling, climbing, grasping, hearing, using hands to handle, feel or operate objects, and reaching with hands and arms. 

·        Vision abilities required by this job include close vision and the ability to adjust focus. 

·        The noise level in the work environment is usually moderately quiet.


Licenses, Certificates and other requirements:

·        Valid Washington State driver’s license.

·        Reliable personal transportation.

·        Proof of personal automobile liability insurance.

·        Must pass criminal background check through the Washington State Patrol.

·        Covid-19 Vaccination Requirement: All Hopelink employees are required to be fully vaccinated against COVID-19. Upon hire, you will be required to submit proof of vaccination.
