Title: Program and Administrative Coordinator, New York

Location: New York, NY (hybrid option - 1-2 days/week in office)

Status: Non-Exempt; Full Time (S2/B2)

Start Date: Immediate

Salary Range*: $52,000 - $58,000

Facing History & Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

The Program & Administrative Coordinator will play an essential role in the support, success and function of the New York office. This cross-functional role supports Program, Development, and the overall operations of the office. This person provides critical operational, financial, and administrative support through managing databases, financial transactions, correspondence, communications, and event logistics with internal staff and external parties. In addition to the regional activities and support roles, this person holds memberships on various cross-functional teams, which links them to other administrative Staff and project groups throughout the organization.

Responsibilities Include:

Program Administration Support (70%)

  • Support the NY Program team with data related information, including continuing teacher and leader education (CTLE) and Certificates management for area teachers
  • Assistant with periodic and miscellaneous project reports for the Program team in Salesforce, including workshop/event information and record maintenance.
  • Support in-person and virtual Program-related events in the region. Responsibilities may include: catering orders, supplies, courier needs, in-person facilitator support, and supply management (for in-person events) and QR code maintenance and digital communications manager (DCM) (for virtual events.)
  • Process vendor and speaker payment requests
  • Manage inventory and supplies for Program team
  • Support Program team with various requests and needs, including note taking, requests for Speakers, as well as ordering of books, marketing and swag.
  • Manage the Teacher Advisory Groups for New York and New Jersey with respective Program Staff for each location. Assist in planning and logistics for various in person meetings and events, as well as communication and newsletters.

Office Administration Support (30%)

  • Provide general administrative office support by maintaining office supplies, systems, and resource materials, serve as note taker for All NY Staff meetings, ensure general order and cleanliness of office space, and assist with set up and breakdown of meetings and events, when needed.
  • Provide support for Staff Retreats and Learning Events - track expenses appropriately, managing catering and logistics as needed, serve as note taker.
  • Assist Executive Director, New York in internal and external meeting management, calendaring, & follow-up as needed
  • Serve as member of engagement and culture committee to help build community among NY office
  • Process Vendor payment requests related to NY office and building
  • Provide support for office issues when they occur, including phone, IT, minor building related issues.
  • Oversee and track expenses for admin and program projects and complete financial reporting and reimbursements for 3 Corporate Cards (Executive Director, Senior Program Director, Office Manager)
  • Ensure general upkeep of NY office including managing inventory of shared supplies

Essential Skills / Qualities:

  • Minimum of 1-2 years of relevant administrative support experience in non profit or office environment
  • Excellent computer skills, including experience with Microsoft Office; experience with Salesforce or CRM databases a plus
  • Competent and proficient in various technological platforms, including Microsoft Office Suite, G-Suite, Salesforce, Zoom and Slack
  • Ability to multitask and be flexible while showing attention to detail
  • Ability to maintain focus, motivation and communication with others in a remote environment
  • Disciplined self-starter and independent worker with creative energy
  • Excellent written, oral communication and organizational skills
  • Experience in database entry and event planning
  • Ability to work individually and as a member of a team, has flexibility.
  • Interest in and ability to articulate the mission of Facing History and Ourselves.
  • Experience with Zoom and Zoom Webinar preferred
  • Ability to lift 25+ pounds
