    Job Title

    Finance & HR Manager (Full-Time)

    Reports To: CFO/COO

    Position Overview:

    The Finance & HR Manager plays a key role in overseeing financial operations and human resources functions at the Pasadena Community Foundation. This individual will assist in the monthly close of books, prepare audit schedules, manage payroll and benefits administration, and handle compliance-related financial and HR tasks. The ideal candidate is highly detail-oriented, maintains strict confidentiality, and has a strong background in finance, accounting, and HR administration.

    Key Responsibilities:

    Finance & Accounting

    Audit & Financial Reporting

    • Prepares and reviews audit schedules to ensure accurate and timely completion.
    • Coordinates and manages audit confirmation letters and documentation requests.
    • Assists in the preparation of financial reports and reconciliations.
    • Works closely with CFO during the annual audit

    Bookkeeping & Monthly Close

    • Manages the monthly close process in collaboration with the Finance Associate.
    • Reviews fund openings with the Gift & Operations Associate to ensure compliance and accuracy.
    • Supports the CFO/COO in financial planning and reporting.

    Tax & Compliance

    • Prepares and files 1099s for Charitable Gift Annuities (CGAs), vendors, and independent contractors.
    • Responds to financial and donor-related inquiries, ensuring compliance with nonprofit regulations.
    • Prepares insurance schedules and updates.
    • Supports donation processing and ensures transactions are properly recorded.

    Human Resources & Payroll

    Payroll & Benefits Administration

    • Processes semi-monthly payroll and ensures compliance with labor laws.
    • Manages semi-monthly retirement plan payments and ensures contributions are accurate.
    • Manages employee vacation accruals
    • Acts as the liaison for employee benefits, including health insurance, retirement plans, and other offerings.

    HR Compliance & Surveys

      • Completes insurance paperwork for employees and organizational compliance.
      • Fills out salary surveys and other HR-related surveys throughout the year.

    Qualifications & Skills

      • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
      • 5+ years of experience in finance, accounting, or HR-related roles.
      • Strong Excel skills (data analysis, reporting, and reconciliation).
      • Familiarity with audit preparation, financial reporting, and compliance filings.
      • Knowledge of payroll processing, benefits administration, and HR best practices.
      • Ability to manage confidential and sensitive information with discretion.
      • Strong organizational skills and attention to detail.
      • Experience with nonprofit financial management is a plus.
