Position Summary: 


The Program Administrator is an essential team member in the Volunteer Services Department, organizing major programmatic initiatives. This portfolio includes DOROT’s largest community events that each engage hundreds of volunteers who visit/call clients through our Holiday Package Deliveries and Thanksgiving Meal Delivery and Celebration, and Caring Calls which matches volunteers and older adults for weekly phone visits. Two other programs in the portfolio involve organizing volunteers who escort older adults on cemetery visits and supporting a group of 20+ Office Volunteers. 


The ideal candidate is interested in nonprofit management and/or volunteerism and is passionate about DOROT’s mission of addressing social isolation and improving life for older adults. Also vital to this high-volume, fast paced position is excellent customer service skills; strong organizational skills, attention to detail and a “can-do” attitude. This is a great opportunity for a candidate who wants to learn about project planning and volunteer management.


Primary Responsibilities:


·      Spearhead outreach to older adult clients to register them for programs

·      Solicit, record and where needed follow up on program feedback

·      Organize large-scale mailings to clients

·      Develop and implement procedures for matching older adults and volunteers

·      Maintain and track client and volunteer information and participation using spreadsheets and DOROT’s database

·      Ensure accurate data entry and statistical reporting on program participation

·      Inventory and order program supplies and materials

·      Develop and modify administrative systems and procedures to increase efficiency and effectiveness and respond to evolving needs

·      Respond to inquiries from clients and volunteers, by phone and email

·      Train and oversee volunteers and interns who assist with administrative tasks

·      Perform other duties as assigned.


Required Qualifications:


·      Bachelor’s degree preferred; commensurate experience considered

·      Two years professional office or program experience

·      Experience or interest in working with older adults and/or volunteers

·      Strong administrative, organizational and customer service skills with the ability to multi-task, prioritize and attend to details in a deadline driven, busy environment.

·      Excellent verbal and written communication skills

  • Demonstrated effectiveness as a team player, who can work collaboratively and take initiative, as needed
  • Availability to work approximately 4–6 Sundays per year for special events and Package Deliveries
  • Advanced knowledge of Office 365 required, experience with Salesforce preferred
