Position

The Operations/Technology Manager is a part time position that is responsible for front office services, responding to staff with tech support needs, and a variety of related activities for the organization. The Operations/Technology Manager is responsible for overall administrative and front office activities including processing mail, fulfillment, purchasing requests, and facilities matters. They will be responsible for coordinating internal meeting logistics and will often handle confidential and sensitive information. They will work with the Director, Operations and Technology to support technology needs for new and existing staff and will be assigned special projects as necessary.

The Operations/Technology Manager is a part time position at 30 hours per week that reports to the Director, Operations and Technology.


Responsibilities

Responsibilities within the Operations/Technology Manager role include, but are not limited to:

  • Management of the reception area to include professional communication internally and externally, day-to-day facilities and equipment operations, and general office maintenance.
  • Scheduling, planning, and managing internal and external office meetings and events, including planning locations, catering and other arrangements, providing logistical and technical support, and preparing and distributing meeting materials.
  • General office upkeep including ordering supplies, maintaining order within the office, and logistics as needed.
  • Sorting and distribution of incoming mail and labeling packages for shipping.
  • Logging incoming checks and processing incoming mail on a bi-weekly basis.
  • Supporting the Director, Technology and Operations with onboarding activities for new staff, fellows, and interns.
  • Providing positive, professional customer support for IT requests including troubleshooting and understanding the issue, ensuring a timely resolution or escalation to the Director, and timely communication on progress or completion.
  • In collaboration with the Director, training employees on software, hardware, and new technologies.
  • In collaboration with the Director, maintaining essential IT Operations, including operating systems, security tools, applications, servers, email systems, laptops software, and hardware.
  • Research and evaluation of emerging technologies, hardware, and software.
  • Tracking and maintenance of hardware and software inventory.
  • Processing and fulfilling purchase orders both internally and externally and assisting customers and colleagues with issues as needed.
  • Performing other duties as assigned.


Qualifications

The successful candidate will have/be:

  • A bachelor’s degree and four to five (4-5) years of relevant work experience OR six to seven (6-7) years of relevant work experience without a degree, required.
  • Proficiency in Windows and Mac operating systems, Office365 Admin Portal, Exchange, Active Directory, SharePoint, Microsoft Teams, and Zoom required.
  • Prior experience working with Microsoft Office, CRM, Azure, Adobe Acrobat, and processing purchase orders preferred.
  • Prior experience as an office coordinator, technical assistant, project coordinator, or similar position is highly desirable.
  • Good time management skills, attentive to detail, very organized, and ability to handle multiple tasks effectively.
  • Excellent written and oral communications skills, ability to meet deadlines, and work independently and as part of a team without close supervision.
  • Ability to manage multiple projects, have a keen eye for detail, and work effectively on long-term as well as short-term projects.
  • Possess strong organizational and interpersonal skills, exercise sound judgment, and be discreet and able to honor requests for confidentiality.
  • A positive attitude, an enthusiastic approach to work, and a desire to join a successful and innovative organization.
  • Ability to lift approximately 30 lbs. is required.

The Office/Technology Manager is an exempt position. Salary is based on market factors and individual experience and abilities. The salary range for this position is $45,036 to $57,421.
