Job Summary

This position ensures the effective daily operations of the Professional Development Activity (PDA) course approval and certificate distribution processes. This position actively promotes the National Certification Commission for Acupuncture & Oriental Medicine (NCCAOM) to NCCAOM PDA Providers, Diplomates, Staff, and the Acupuncture and Herbal Medicine

profession.

Essential Functions and Responsibilities

Professional Development Activity Program

  1. Provide timely, professional, and courteous customer service support to NCCAOM Diplomates, PDA providers, staff, and the public.  
  2. Actively promote NCCAOM’s values of service, integrity, trust, leadership, community, and support in all interactions with NCCAOM stakeholders including Diplomates, PDA providers, staff, and the public. 
  3. Work independently to manage PDA processes within the policies to ensure maximum department efficiency.
  4. Use sound judgement and decision-making skills in the review of PDA course content for complete and accurate information, and assignment of PDA points to appropriate NCCAOM recertification categories. Maintain course review and approval timeframes within four to six weeks.
  5. Coordinate the PDA course application and approval process and PDA Certificate template and distribution in the Association Management Systems. Assist Diplomates in resolving PDA and recertification issues.
  6. Provide one-to-one communication and assistance for all Providers through the PDA program process. Communicate with the Providers to answer questions and complete requests.  Notify the PDA Manager of any potential threats, complaints, or disciplinary actions.
  7. Maintain PDA electronic filing system to assure accurate information is retrievable. 
  8. Support the PDA Manager in the review of monthly PDA metrics and revenue.
  9. Assist with updating the NCCAOM PDA Handbook and the policies and procedures.
  10. Process NCCAOM PDA Course Highlights and NCCAOM PDA Course Spotlight applications.

OTHER DUTIES AND RESPONSIBILITIES

  1. Communicate clearly, both verbally and in writing, to sustain relationships with all stakeholders.
  2. Communicate and support other teams with administrative tasks.
  3. Perform other duties and work on special projects, as assigned.
  4. Provide excellent customer service to Providers, Diplomates, co-workers, and all other customers.

PERFORMANCE EXPECTATIONS FOR ALL STAFF

  1. Respect the confidentiality of information learned through employment with the NCCAOM.
  2. Perform job responsibilities in compliance with the policies and procedures contained in the NCCAOM Employee Handbook.
  3. Communicate with stakeholders through e-mail or on the telephone, as needed.
  4. Participate in departmental/office staff meetings.
  5. Annually read, review, and provide input into job description during annual performance development review.
  6. Assist with maintaining and developing departmental policies and procedures.
  7. Implement all policies and procedures of the organization in compliance with the management system for ISO/IEC 17024 accreditation.
  8. Perform job responsibilities in compliance with NCCA and ISO/IEC 17024 performance accreditation requirements.
  9. Follow all NCCAOM security policies and procedures.
  10. Maintain a courteous and respectful attitude toward fellow employees.
  11. Support other department activities.
  12. Maintain a professional, courteous, and respectful attitude toward applicants, Diplomates, NCCAOM Board members, or other members of the public.
  13. Promote positive public relations for the NCCAOM.
  14. Perform job in a way that ensures safety.

QUALIFICATIONS, KNOWLEDGE, SKILLS (CAN INCLUDE A COMBINATION OF EDUCATION, EXPERIENCE, AND CREDENTIALS):

  • Master’s Degree in Acupuncture or Oriental Medicine preferred
  • Exceptional customer service skills and focus
  • Excellent written and oral communication skills
  • Strong Interpersonal and problem-solving skills
  • Knowledge in MS Office programs; advanced
  • Excel skills a plus
  • Ability to multi-task and see projects through to completion
  • Strong attention to detail and extremely organized
  • Ability to follow instructions
  • Flexibility and team player spirit are vital to success
  • High level of work ethics because of a virtual work environment

Working Conditions

This is a regular full-time virtual position with working hours from 9:00am – 5pm EST Monday through Friday. Extended hours may be required during deadline periods or before special external events. Requires frequent sitting, repetitive wrist, hand, and finger movements. Occasional lifting of objects less than 20 pounds. The NCCAOM offices are located at 2001 K Street NW, 3rd Floor North, Washington, D.C. 20006.
