Overview:

Mayday Space is an organizing center and events space for grassroots organizations to host their meetings, conferences, fundraiser parties, leadership retreats and more. We are both a neighborhood resource and a citywide destination for engaging programming, a home for radical thought and debate, and a welcoming gathering place for people to work, learn, and build together. Mayday is driven by a volunteer Collective and supports various affiliated projects committed to our shared mission and shared stewardship.


We are looking for a dedicated, visionary, and detail-oriented Operations Director to work alongside other Mayday stakeholders to help run the space and expand our impact. You will be working closely with our very small staff (one other person besides you) and an active and involved Mayday Collective.  We offer a friendly, and flexible place to work. 


Mayday occupies a unique position in the social justice movement ecosystem in NYC and beyond, and this job is ideal for someone who wants to play a role in connecting and supporting a variety of causes, campaigns, and groups. You’ll be joining a passionate and scrappy community of Mayday volunteers, members, neighbors and more.  BIPOC, immigrants, LGBTQ+, women and candidates who live proximal to Mayday are especially encouraged to apply. 


Compensation and Benefits:

The responsibilities below reflect on average a 40 hrs/week schedule.. Yearly salary between $55,000- $60,000 (depending on experience) plus a transportation stipend, health insurance stipend, cell phone stipend, 15 days PTO, and 1 personal day accrued per month. The Operations Director is expected to use their own phone, but will be provided a computer on site.


Schedule and Location:

Mayday is located at 176 St. Nicholas Ave, in Bushwick, Brooklyn. Some administrative work can be done remotely at flexible times, but the majority of the job will be done on site. Work schedule will include hours in the evenings and at most two weekend days a month, as these are the busiest times for bookings, programming events and meetings.

Primary Responsibilities

  • Administration
  • Manage office correspondence (mail, letters, packages, etc.); and monitor Mayday’s  info@ email inbox and text threads for booking inquiries
  • Manage and organize Mayday’s google drive and paper files
  • Manage the organization’s data on donors, events, and bookings; help Mayday research and transition to a streamlined database in the future
  • Keep office organized and stocked with essential supplies, maintain supply of Mayday merch and promotional materials on hand
  • Manage payroll system (Gusto) and run payroll
  • Maintain and update website content as needed (rarely) and liaise with experienced volunteer(s) to troubleshoot website issues and improve user experience.   


  • Legal and Financial
  • Manage Mayday checking and savings account; deposit cash and checks; pay bills; keep track of receipts and monthly statements; work with bookkeeper to enter and categorize transactions
  • Manage insurance policies and payments and liaise with carriers/brokers to ensure Mayday is in compliance with all relevant laws
  • Work with bookkeeper and accountant to prepare required annual state and federal tax filings; ensure all contractors and staff paid by Mayday receive 1099 or W2 forms as appropriate
  • Manage Mayday’s organizational budget, and track project spending for all Mayday programs (signature events, classes, artists-in-residence programs) 
  • Provide financial reports and updates to the Mayday Collective on quarterly basis or as requested 
  • Assist with writing and publishing of annual report


  • Building Partnerships and Facilities Management  
  • Maintain positive relationships with leadership of both congregations we share the building with and lead building partner meetings
  • Be direct liaison for any building-related matters with partner projects and class instructors as needed
  • Ensure the space is clean and orderly in between professional cleans and after events in the space; schedule professional cleaning services; coordinate regular Building Improvements Days with volunteers; order supplies and keep track of inventory


  • Bookings & Resource Commons Requests
  • Respond to all incoming requests to book the space and maintain bookings calendar; send invoices for confirmed bookings and follow up to collect payment
  • Communicate expectations with event organizers and secure agreement; support, coordinate, and answer questions leading up to event
  • For public events, coordinate w/ event hosts on promotion plan; ensure event is documented (photo, video) 
  • Respond  to incoming requests to borrow items from the Mayday Resource Commons; arrange pickup and dropoff; collect and return deposits; keep records of what is borrowed


  • Hosting Coordination & Space Partnerships
  • Be onsite to host and support bookings and Mayday-curated programming in collaboration with our Programs Manager (often taking turns) 
  • Maintain coverage schedule and arrange for staff & volunteer hosts to cover events as needed; facilitate communication between event organizers and volunteer host 
  • Coordinate space use arrangements w/ affiliated projects and groups using the space (free community programs, grocery share pick up, mutual aid, etc.)

 

  • Mayday Collective and Staff
  • Participate in monthly Collective meetings as needed; carry out work on behalf of the Collective as agreed upon; and co-develop agendas and progress reports for meetings and retreats
  • Participate in staff meetings and meetings with collective members responsible for staff supervision and support 
  • Read and respond to internal communications between staff and Collective members in email and text threads in a timely manner
  • Assist with hiring and staff transitions as needed


  • Fundraising & Grantwriting
  • Work alongside the Mayday Collective’s fundraising committee to develop an annual fundraising plan for Mayday
  • Attend and co-lead regular fundraising committee meetings  
  • Support with writing and tracking of grants and grant-reporting, especially for city council discretionary funds  
  • Coordinate annual fundraising and membership drives; targeted communication to members; track membership benefits


Skills and Qualifications of an Ideal Candidate:

  • Comfort not having a “boss” and taking initiative and leadership role in a more horizontal, teamwork environment
  • Detail-oriented, multi-tasker with strong skills in project management, work planning, and task delegation
  • Motivated to learn and enhance skills, especially in areas like financial management and non-profit compliance
  • Comfort asking for help, naming capacity challenges, proposing division-of-labor adjustments, and re-prioritizing items to ensure you are not working more than an average of 40hrs/week
  • Public speaking and meeting facilitation
  • Familiarity with Mayday (attended or volunteered at events at our space)
  • Resident of Brooklyn (preferably Bushwick or nearby area)
  • Organizing experience with activist or base-building organizations 
  • Politically savvy and relationally-connected with social movements and NYC political spaces
  • Familiarity with Zoom and running virtual meetings/events
  • Fluent or conversational Spanish (ideal)
