Position Overview

The Human Resources Generalist is responsible for the day-to-day management of (HR) operations, which means he/she/they will manage the administration of the policies, procedures and programs of the organization. This position carries out responsibilities in the following functional areas: payroll, benefits administration, employee relations, training, policy implementation, recruitment/employment, and employment law compliance. The Human Resources Generalist will work as part of the Human Resources team, and will report to the Chief of Staff.

Core Responsibilities

Payroll and HRIS (55%)

● Manages semi-monthly payroll process: processes payroll update requests updates payroll records, creates payroll files, runs payroll with the Manager's approval. Keeps the Manager informed about any issues/concerns.

● Manages change in relationship requests, and implements payroll adjustments. Research and resolve payroll issues.

● Collaborates with Paycom on the processing of IRS & state withholding and garnishment orders, wage audits, unemployment claims, and employment verification requests for employees, with support from the People Operations Coordinator as needed.

● Supports year-end processes, such as W2s and ACA reporting.

● Attend Paycom seminars and stay up-to-date on system functionality updates and new features.

● Prepares payroll and employee data-related reports as needed.

Data Management & Maintenance (20%)

● Maintains and performs quality control of personnel data in the HRIS (Paycom) to ensure accuracy.

● Conducts quarterly audits of personnel files (both paper and electronic) to ensure completeness.

● Support the Team readiness for the annual organizational audit.

● Manage maintenance and accuracy of the Employee Resource site.

Benefits Administration (10%)

● Supports the Manager in processing & administration of all leave-of-absence requests and disability paperwork: medical, personal, disability, and FMLA. Coordinates employee payments with EDD or other state agencies.

Recruitment/Employment (10%)

● Partner with the Coordinator to ensure smooth onboarding of new employees.

● Partner with HR Specialist to ensure processes employee terminations: conducts exit interviews, final checks processing/distribution, Paycom data maintenance. Maintains good communication with the Coordinator and Manager about employee terminations.

● Maintains compliance with federal, state, and local employment and benefits laws and regulations.

Other (5%)

● Participates in developing team goals, objectives, and systems.

● Participates in the process of improvement.

● Support annual organizational audit process.

● Other duties as assigned.

Supervisory Responsibility

Currently does not supervise other employees.

Expected hours of work

Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Daily schedule is flexible within the proximity of this time frame, and will be decided in consultation with the supervisor.

Essential Knowledge, Skills, and Experience

● Bachelor's degree in human resources or related field of study, or equivalent work experience;

● A minimum of three years of experience in Human Resource Generalist role;

● Excellent communication and interpersonal skills, both verbal and written;

● Ability to switch between detail-intensive data processing and relationship-based interaction with ease;

● Ability to manage and make progress on multiple projects simultaneously;

● Ability to handle diverse challenges with a calm demeanor and positive outlook and be oriented towards excellence in service;

● Excellent computer skills: Knowledge of Human Resources Information Systems (HRIS) and Online Payroll platforms, adept in Google Suite and Microsoft Office Suite, etc.;

● Dedication to social justice;

● An orientation towards learning and development; willing to learn from mistakes, receive feedback, and give feedback to others.

Position Type and COMPENSATION

● This is a 100% FTE hourly non-exempt position.

● 100% FTE. Gross hourly pay, depending on experience.

● MSC’s 100% FTE benefits package includes:

● 20 days vacation leave per year;

● 12 standard holidays and 2 personal days per year;

● 12 sick days per year;

● 1 week paid MSC family and medical leave after one year of service; an additional week of paid leave for each additional year of service, up to 4 weeks;
