    The National Book Foundation (NBF), presenter of the National Book Awards, is seeking a part-time Awards Coordinator to join our small and dynamic team. The Awards Coordinator reports to the Senior Manager of Awards & Honors to support the annual National Book Awards—from submissions, through announcements, to the Ceremony & Benefit Dinner. This role will provide essential support for communications with publishers, judges, vendors, donors, and honorees; Awards-related asset and data management; production of Awards events; and additional administrative responsibilities to help ensure a concierge-style experience for all constituents interacting with the National Book Awards.

    The ideal start date for this position is March 2025. This is a part-time position based in New York City and operates on a flexible hybrid in-office / remote schedule. Some evening and weekend work is required.

    Responsibilities

    National Book Awards Submissions & Announcements

    • Work closely with the Senior Manager of Awards & Honors to support the National Book Awards submissions process, which runs from mid-March to the end of June, including facilitating publisher communications, eligibility checking, data cleaning, and asset maintenance
    • Collaborate with the Senior Manager of Awards & Honors and NBF’s Communications & Marketing team, as well as third-party design teams, to provide accurate copy and image assets for Awards–related announcements and website updates

    National Book Awards Ceremony & Benefit Dinner

    • Oversee data management pertaining to the National Book Awards Ceremony & Benefit Dinner invitation process, as well as the current year’s judges and honorees.
    • Assist with the feedback and approval process for Awards Ceremony designed materials
    • Coordinate travel logisticsfor the Awards Ceremony and support communications for honorees
    • Assist development team with producing outreach materials for prospective Awards Ceremony donors and donor tracking
    • Help manage sponsor fulfillment for the Awards, including confirming listings, obtaining logos, and coordinating program ads
    • Help manage RSVP tracking, ticket sales, and guest detail collection for all Awards Ceremony attendees
    • Facilitate communications with event production vendors for the Awards Ceremony
    • Provide on-site logistical support at the Awards Ceremony, including facilitating set-up, managing volunteers, overseeing the check-in process, and overall troubleshooting

    Other Awards Events

    • Provide general event production support for the 5 Under 35 celebration in June, as well as the other Awards–week events in November, Teens Read the National Book Awards, the Medal Ceremony, and the National Book Awards Finalist Reading
    • Support invitation and guest list management for all Awards events, including regular updates and contact maintenance
    • Other duties as assigned

    Skills and Qualifications:

    • Extremely organized, communicative, detail-oriented, proactive, and deadline-conscious, with a demonstrated ability to balance overlapping project timelines
    • Excellent oral and written communications skills with an ability to tailor messaging for internal and external audiences
    • Copyediting experience is a strong plus
    • Fluency in Microsoft Office Suite, Mac OS, Zoom, and Slack is required
    • Familiarity with any of the following is a strong plus: Salesforce, WordPress, and Asana
    • 2-3 years of related experience is preferred
    • Applicants should demonstrate a capacity and flexibility to work both independently and collaboratively with others.
    • Applicants must have a passion for books and possess an enthusiastic, flexible, patient, and kind spirit.

    Compensation:

    Hourly rate is $26-28 depending on experience.

    This is a part-time 20-25 hour/week position based in New York City with a one day per week in-office requirement through the four-month probationary period. After the probationary period, there is a flexible in-office/remote hybrid schedule. Some evening and weekend work is required.
