Summary of Role and Responsibilities

The Executive Assistant (EA) provides direct support to the LCCA's Executive Director and helps ensure effective communications, timely decision-making, operational efficiency, and conditions for trust, within the executive office and across the organization. The EA serves as the Executive Director’s representative and primary point of contact for internal and external constituents on all matters pertaining to the executive office, and otherwise manages and facilitates the flow of incoming and outgoing information and communications. The EA assists the Executive Director in setting daily, weekly, and monthly priorities, and manages her schedule and daily office operations accordingly. The EA provides leadership for the executive office and to the organization by modeling LightEn’s approach and values of reflection, collaboration, and soul-infused action; and by promoting conditions within which colleagues are encouraged and supported to do so throughout their own practices. 


Responsibilities

Executive Support

  • Support the Executive Director in setting priorities; translate those priorities into operational plans and agendas;
  • Manage the Executive Director’s calendar and conduct executive office activities according to operational plans and agendas, whilst demonstrating exceptional judgment and flexibility to accommodate emergent priorities and issues;
  • Manage all travel arrangements of the Executive Director, both domestic and international, and all associated itineraries, agendas and briefings;
  • Draft, edit, and respond to correspondence on the Executive Director’s behalf;
  • Coordinate and facilitate executive meetings, inclusive of agenda management;
  • Prioritize, investigate, and follow up on incoming issues and concerns addressed to the Executive Director; recommend appropriate course of action, referral, or response;
  • Prepare invoices and expense reports for approval and payment;
  • Maintain a high level of confidentiality regarding discussions, records, files, documents, and information as they relate to all business and personal activities;
  • Manage special projects as assigned.

Department and Organization Building

  • Manage and maintain executive office operations consistent with annual work plans and budgets;
  • Conduct operations and build relationships to promote credibility, trust and support with and among senior management and staff, and with external counterparts;
  • Coordinate and assist in the coordination, planning and execution of LightEn-hosted events;
  • Support and participate in the evaluation of LightEn’s performance against intended financial, social, and environmental outputs, outcomes and impacts;
  • Support ongoing internal initiatives to create a work environment and community of practice that is inclusive, responsive, and accountable to its goals and values.


Organizational Relationships

The EA

  • reports to the Executive Director;
  • maintains a coordinating relationship with the Vice President of Operations, and with the Chief of Staff and the EA of LightEn UK.


Qualifications

LightEn welcomes expressions of interest from candidates with the expertise and ability to deliver against the above responsibilities, and has identified the following characteristics as indicative of the abilities, aptitudes, and dispositions that will make for success in this role:

  • 5 or more years' of employment as an Executive Assistant to a senior executive in a complex and fast-paced organizational environment;
  • Experience and skill in drafting and proofing professional documents and communications in different media, voices and registers;
  • Experience managing, coordinating, or supporting the production of events;
  • Background in client or customer service and satisfaction, such as in hospitality, health care, non-profit, or other high-touch and high-trust contexts for engaging and serving others;
  • Exquisite attunement and attention to detail in all aspects of planning, production, and logistics;
  • Experience and an appetite for working in a start-up and rapid-growth organization;
  • Ability to work autonomously and be a strategic partner to executive and administrative colleagues;
  • Strong technical proficiency in all Microsoft applications and familiarity with Google Apps suite;
  • Personal affinity with LightEn's mission, values, and approach.


Position Detail

Location

The EA will be based in the Asheville area with the ability to attend the office in person on a regular basis. LCCA currently operates on a hybrid remote and in-office schedule. 

Compensation

The expected salary range for this role is $75,000 - $85,000 annually. LightEn offers comprehensive employee benefits including health, vision and dental insurance; paid vacation and holidays; family leave; and retirement plan. A final compensation package will be created in contemplation of the above factors, as well as the qualifications, experience, skills and abilities of the successful candidate.
