Program Manager, Communications & Events (Boston or Los Angeles)

Over our six-year program, Scholars benefit from admissions and intensive academic preparation before college and a comprehensive set of academic, personal, social-emotional, financial, and career supports throughout college. 


The Position

As our Program Manager, Communications & Events, you will play a key role in managing the varied administrative and logistical processes and projects that keep our Program department running. You will work closely with all Program teams to ensure that students navigating each of our program stages have a high-quality experience of program events and communications. Your strengths in event logistics, communications management, balancing multiple priorities, and working with a variety of stakeholders will help us to ensure that we consistently engage the Thrive Scholars community in ways that are effective, clear, and inclusive.


You’ll love this position if you take pride in getting things done with attention to detail and an attitude of continuous improvement, and enjoy working on a variety of projects and with a range of people, including colleagues, Scholars, and community members, on any given day. This role offers the opportunity to learn the ins and outs of our growing programs, to collaborate with colleagues across departments and levels, to streamline and improve our communications and event practices, and to develop skills in several functional areas, including project and program management, and core non-profit operations. 


An ideal candidate will have prior experience working within an administrative capacity and have a foundational understanding of core responsibilities related to communications and event management, project management, and non-profit programming. This is a full-time position that can be based out of our office in Boston or Los Angeles, and will report to the Managing Director of Career Development.


Essential Functions

Event Planning and Support (50%)

GOAL: Ensure virtual and in-person program events are well-run, promoting a positive and impactful participant experience. 

●      Oversee workflow management, tracking, follow-up and reporting for complex events that involve multiple program areas, ensuring that projects are successful and program staff have the information and clarity they need

●      Manage a master calendar of program events

●      Partner with key stakeholders on event vision, purpose, and goals

●      Plan event logistics, including promoting and managing event sign-up, venue, and technology

●      Coordinate with and provide logistical support to event panelists and speakers

●      Provide day-of logistical and technical event support and troubleshooting

●      Document Scholar participation in our database, as applicable       

●      Events include, for example:

○  Career Development: Career and Leadership Conference, Career Panels, Day on the Job, Networking Events, Opportunity Fair, Workshops

○  College Access: College Fair

○  College Success: Campus Visits, Winter Break Programming

○  Mentorship: Corporate Sponsorship Events, Mentor Recruitment & Engagement Events

○  Scholar Recruitment: Information Sessions, Selection Committee Meetings

○  Summer Academy: Campus Tours, Open House, Scholar & Family Information Sessions


Scholar and Volunteer Communication (40%)

GOAL: Ensure that Scholars and volunteers receive the communication and assistance they need to successfully navigate various aspects of their engagement with Thrive Scholars, including application and enrollment, survey completion, Scholar stipend distribution, and Scholar assignment completion. 

●      Manage outgoing Scholar email communications, including overseeing a communications calendar, gathering content, and creating and sending communications

●      Triage and respond to prospective and current Scholar inquiries

●      Collect, track and follow up on Scholar enrollment documents

●      Coordinate Scholar online learning assignments and survey communications and follow up as needed

●      Produce program and event promotional materials

●      Support volunteer newsletter development and distribution, compiling content provided by program teams and ensuring timely delivery


Cross-Departmental Operations Collaboration (10%)

GOAL: Ensure cross-departmental communication and efficiency by collaborating with staff across the organization. 

●      Participate on the Special Operations committee, contributing to organization-wide projects and initiatives to promote effective and integrated operations

●      Collaborate with the Development and Communications Manager as needed on social media, blog, and website content 

●      Collaborate with the Development team on external communications as needed

●      4+ years of experience in an administrative-focused, event planning, or project management position, nonprofit experience preferred

●      Excellent time management, meticulous attention to detail and ability to manage multiple tasks/priorities and switch gears with agility in a fast-paced environment

●      Service-oriented attitude and skills in providing relevant and adaptable support to a variety of stakeholders

●      Excellent organizational skills and commitment to being thorough

●      Excellent written and oral communication skills

●      Ability to deliver engaging, inclusive written communications to varied audiences

●      Strong technical skills with experience using Excel, the Salesforce.com platform or another database platform, and/or event or communication platforms

●      Demonstrated track record in troubleshooting, problem-solving, and follow through

COMPENSATION & BENEFITS 

Thrive Scholars offers a robust compensation and benefits package including high-quality health and dental insurance, three weeks of paid vacation, generous professional development funding, and access to an employer-matched retirement plan. This is a full-time non-exempt position.


Salary Range: $54,000-$60,000


COVID-19 Vaccine Requirement 

Thrive has instituted a COVID-19 vaccine mandate for all employees, including remote staff. Individuals selected for job opportunities must be fully vaccinated, and show proof of vaccination status, in advance of your hire date. Individuals are considered fully vaccinated 14 days after receiving their second dose in a two-dose vaccine (Pfizer or Moderna) or one dose of a single-dose vaccine (Johnson & Johnson).
