Friends School of Portland is seeking an After School Coordinator for the 2022-2023 school year.  This is an administrative role that oversees both the Aftercare program and the Enrichment Activities program, two separate but interconnected aspects of our students’ after school experience.

Friends School of Portland is an independent preschool through 8th-grade school arising from Quaker faith and practice and built upon long-held standards of exceptional Friends schools. Embracing the Quaker belief in the unique worth of each individual, we seek students from diverse ethnic, economic, and family backgrounds. In small, multi-age classes, as well as in afterschool and summer programs, we nurture children’s unfolding development as curious, creative, and compassionate world citizens. Aftercare is a self-directed place for students to decompress from their school day, explore friendships, personal interests, and creative play. In Aftercare, social-emotional development and community enthusiasm is key to creating a safe, enjoyable, and successful environment for all. The Afterschool Enrichment program at FSP offers a variety of options each day. 

This person is responsible for organizing and overseeing all aspects of Afterschool programming.  This includes hiring, training, supporting, and supervising 4-5 Aftercare staff members and specialists, After School and Aftercare attendees (which varies, but is upwards of 80 students), nurturing and navigating relationships with school faculty and parents. This also includes creating and maintaining community partnerships to expand our enrichment program, in particular bringing more arts, music, and theater options. The position is 36 hours per week. 

The coordinator works in collaboration with and under the supervision of the Head of School and is assisted by other school administrative staff.  During school weeks, hours of on campus work are 12-6 pm, Monday through Friday.  Paid training days will also be required.

Essential Skills:

Background in child development and education or recreation, a love for outdoor play and building community, and a passion for working with children of all ages.

Leadership skills, including: connection to program mission; ability to communicate clearly; commitment to creativity, safety, clear communication, and reliability. Good at multitasking, approachable, and confident.

This candidate will bring enthusiasm for extracurricular education, with an ability and interest in facilitating arts options and athletic options in our enrichment program, which may include outreach to our parent population and Portland arts organizations.

This candidate should grasp the administrative roles of billing and detailing record-keeping.

Bachelor’s degree or equivalent life experience.  Master’s degree welcomed.

Major Responsibilities: 

Oversee the operation of Aftercare program and After School Activities, ensuring that programs meet budget guidelines. 

Supervise Aftercare staff and hire as needed. Train staff in mediating conflicts between students.

Serve as a liaison between Afterschool and Teaching Faculty.

Coordinate and hire for Afterschool activity offerings, which range from parent offerings to broader community member offerings.

Ensure health and well being of all participants and staff; ensure that program meets appropriate health, safety, and legal requirements.  Appropriately deal with any discipline issues that may arise.  Plan and buy daily snacks.  Communicate with parents.

A day in the life of Afterschool Coordinator will/may include:

Supporting social/emotional/behavioral learning in the Aftercare setting

Sending and receiving emails with staff and parents

Providing support and clarification about issues that arose during the school day for non-teaching Aftercare staff (and sometimes Afterschool Enrichment staff)

Monitoring weekly and daily attendance for students both in aftercare and in enrichment activities

Making sure teachers know who is in Aftercare and in Enrichment 

Organizing staff placement and scheduling to account for absences, activities, and group needs

Plan, shop, prep, serve snack

Take the role of floater, moving from group to group to have a sense of how the day is going and to help out wherever adult support is needed. You are also the point person to take over with a child that is having a hard time. Plus you may need to check in with parent(s) to inform them about a particular event/behavior/pattern, etc.

Help create and implement interesting, age/energy appropriate activities on a daily basis

Closing up the building, which includes making sure someone is in charge of running the dishwasher and closing the windows

Check in with teachers to share information/ask questions/etc this includes reading and adding to the faculty meeting notes weekly

Be available for parents problem solving billing and enrollment questions

Hold weekly staff meeting, keep notes, and staff credentials up to date
