Organization Overview: UPAVIM Community Development Foundation (UCDF) is a 501c3 based in the United States with a mission to provide advisory and financial support for the programs run by UPAVIM (United to Live Better), a co-operative group of approximately 70 women from a former squatter settlement in Guatemala City, Guatemala. The women at UPAVIM believe that when women are empowered economically, communities are safer. The women run a thriving craft program and a bakery, in addition to various educational and community programs, including housing a medical clinic and laboratory, a large scholarship and tutoring program, a library, and a Montessori school and daycare. Position Overview: The UPAVIM Community Development Foundation seeks an Administrative Manager who will coordinate the activities of UCDF’s board. The manager must have the ability to multitask and think creatively. This position requires an individual who is good with people, is self-motivated, and possesses excellent verbal and written communication skills.

The ideal candidate is highly organized, adept in technology, time management, resourceful, detail-oriented, and can anticipate needs of the organization and board. The manager should be passionate about non-profits and UCDF’s mission to help the women of UPAVIM and their community initiatives. This person will support the board management and philanthropy efforts, including the duties listed below.

The Manager will report to the UCDF Board President and work as an independent contractor that will maintain their own office, methods, and hours of working to help support the mission of UCDF and UPAVIM in Guatemala.


Desired Experience: Conversational Spanish required and administration and/or project management experience are desirable. Can include: board of director experience, experience across fundraising, operations/finance/bookkeeping, grant writing, communications, marketing, etc. Should be adept at technology (ideally Quickbooks or other accounting software, Mailchimp, Wix or website maintenance experience, Facebook, Zoom, and Google Suite) General knowledge of Guatemala and/or Latin America a plus. Candidates with direct experience with UPAVIM will be prioritized. 


Primary Responsibilities: 

  • Maintain bookkeeping via Quickbooks for UCDF in consultation with the UCDF’s President and Treasurer and prepare financial reports as requested and on a quarterly basis for board meetings 
  • Support fundraising efforts through various functions including but not limited to: initiating and working with the Board on project-specific campaigns, developing and maintaining donor database (donations, interactions with donors, addresses, etc), and sending acknowledgment letters to donors
  • Initiate fundraising efforts by helping to identify and apply for grants as needed with the Grants sub-committee 
  • Attend and be an active participant in the relevant fundraising sub-committees 
  • Write engaging quarterly newsletters and social media posts that inform the community and support fundraising campaigns. Do so by liaising with board members, UPAVIM women, and volunteers for input, photos, stories, and articles. Track metrics to measure the success of communication efforts
  • Regular communication with and support of the work of Board sub-committees. Attendance of sub-committee meetings when requested
  • Hold board members accountable for action items and timelines


Secondary Responsibilities:

  • Work closely with UCDF’s President and Treasurer to create an annual budget and do financial planning
  • Maintain all email lists current for electronic mailings including lists of volunteers, donors, and others
  • Respond to and disseminate e-mails, phone calls, and letters directed to UCDF using the communication opportunities to build and nurture UCDF support
  • Update and maintain the UCDF website to keep the information current 
  • Compile tax information for accountants for filing and comply with the organization’s state and federal agency reporting requirements
  • Facilitate logistics of Board meetings quarterly with UCDF’s President. Manage minutes, agendas, board communication
  • Create a UCDF Annual Calendar to include: board meetings, campaign kick-offs and focus areas, newsletter dates, deadlines for grants, and more 
  • Regular communication with the President reviewing hours and use of time 


Compensation and Hours:  Expected to work, track and submit hours of approximately 15 hrs./week, $15,600/year divided equally over 12 months. Hours per week may vary slightly depending on workload. Compensation can be reviewed if the workload is greater than 15 hrs./ week.
