    SPOON is seeking a highly organized and detail-oriented part-time Administrative Assistant to support general operations and the team. This person will be a self-starter, excellent communicator, and a solution-oriented thinker with a positive attitude and ability to juggle multiple tasks in a fast-paced environment. This person will report to the VP, Finance & Operations and have no supervisory responsibility.

    ESSENTIAL JOB FUNCTIONS

    • General operations management including checking voicemail, collecting and opening the mail, responding to general emails, triaging correspondence, maintaining the team calendar, ordering equipment and supplies, maintaining storage locker filing system and inventories, electronic document retention, managing vendors, and general IT troubleshooting
    • Accounting support including collecting invoices and receipts; preparing check requests, purchase requests, and expense reports; entering bills into bill.com; logging and depositing checks; processing credit card bills; and preparing monthly staff time allocation sheet
    • General staff support including scheduling regular staff meetings and preparing agendas and minutes, coordinating catering and logistics for staff get-togethers and retreats, and organizing birthday and holiday treats for staff
    • Development and board support including printing and mailing receipts, annual reports, and grant applications; and supporting annual fundraiser and in-person board meeting with day-of printing, errands, and staffing event check-in table
    • Assist with recruitment efforts by posting job announcements; managing the general hiring email; collecting, tracking, and redacting applications; scheduling interviews; and general correspondence with applicants. Assist with onboarding new hires and separation when employees leave.
    • Other duties as required

    This is a non-exempt, 16 hour/week position, occasional evenings required (about once or twice per year). Flexible schedule, $20/hour. We will begin scheduling initial 30-min virtual interviews on December 2 on a rolling basis for select candidates. Finalists will be invited for a second virtual interview starting December 9, at which time we will request references. We hope the selected candidate will begin in December.
