Descrição

The Manager of Operations and Administration will support various aspects of ELP's administrative, operational, and technological needs by executing, recommending, and/or advising on these business areas. They will ensure that ELP has the correct functions and structures in place to help support and guide its programming and team to the next level. Part of this role includes both managing the day to day operations and administration of the organization, as well as working with the ELP team to think about longer-term strategy (i.e. budget planning, creating efficiencies in operational management, etc.). This position reports directly to the Managing Director of Program and Strategy. This person will primarily sit in our soon to be opened offices in the Mott Haven neighborhood of the South Bronx and will support programmatic administration, technology, facilities management, and occasional HR functions.

What you’ll do on the job:

Administrative & Operations: 

  • Understand, track, and manage entity governance, reporting, insurance, policies and procedures with our fiscal sponsor (Fund for the City of New York)
  • Ensure we are compliant/ up to date utilizing FCNY’s systems, including submitting invoices, ensuring compliance with HR policies, etc. 
  • Support the onboarding of new ELP employees through administration of required documents and paperwork 
  • Occasionally support recruitment and hiring process for new roles with ELP


Facilities: 

  • Coordinate the renovations of our new location in Mott Haven.  Lead on logistics coordination and organization of contractors and purchase of furniture and equipment
  • Manage our facilities relationships and/or any needs of the facility as they arise
  • Act as the primary onsite contact and coordinator for the ELP space; ensure space is functional day to day 

Technology: 

  • Manage and serve as the administrator for ELP business systems such as Zoom, Adobe, G Suite and FCNY business systems such as Concur, Connex, and ADP 
  • Manage ELP’s technology resources; maintain accounts, and track use and purchase of various equipment
  • Enhance and maintain proper controls on data, cybersecurity, and privacy policies

Programmatic:

  • Secure and organize logistics around transportation (when needed for special events), and in person programming as needed (managing building entry process, coordinating with site coordinators, etc.)
  • Work alongside the program team to coordinate programmatic and development event planning (6-8 events per year) including contacting and invoicing vendors, coordinating logistics and space, sending outreach/invites to the appropriate parties, and supporting day of logistics
  • Support and track the issuing of student stipends and track expenses against budgeted costs for materials, supplies, subscriptions, and other set costs
  • Support food orders for weekly program, and special events, including submitting invoices
  • Act as a tech support during ELP remote and in-person programming sessions 
  • Act as an accessible and available resource to students by attending in person programming in the Bronx; play a mentorship role for ELP scholars and thought leadership role on the ELP staff 


Additional duties and responsibilities as needed, such as:

  • Advising, curating and recommending sound business practices
  • Improve business efficiency and effectiveness
  • Project execution and management 
  • Outlining strategies for operations, governance, human resources, finances, IT that ELP should be putting in place as recognized
  • Learning new systems pertaining to operations and finance, and training the ELP team as needed


Qualifications + Competencies needed for this role:


  • 2-5 years of experience in operational management preferably in the nonprofit sector (less experience accepted if there is strong skills alignment)
  • Familiarity working with entities that serve young adults (schools, educational CBO’s, etc.) Experience working for an education focused organization a +.
  • Comfortable working with various business and technology systems including G Suite, Adobe, Zoom, and HRIS systems 
  • Clear communicator with strong leadership skills; a problem solving mindset that faces challenges and ambiguity with a desire to push forward 
  • Takes initiative and can manage time effectively; doesn’t require a high degree of supervision in order to complete the necessary tasks for the job
  • Strong organizational skills and detail orientation; can manage competing priorities with a high level of execution, and an ability to review and catch issues in the details of processes
  • Knowledge of organizational effectiveness and operations management best practices; always looking to optimize systems and processes in place
  • The ability to work across multiple teams and interact with various stakeholders; will need to be able to communicate with both students and professionals effectively 
  • A genuine interest and commitment to serving the mission of education access and equity; knowledge of the South Bronx community preferred
