Events and Rentals Assistant—Development

The Museum’s rentals program raises revenue by renting Museum spaces for corporate parties, award ceremonies, galas, weddings, and film and photo shoots. The department also oversees a select number of reduced-rate rentals for community partners and nonprofit groups, including government agencies, local schools, and community organizations.

The role of the Events and Rentals Assistant is to support the team in evaluating and implementing the rentals program strategy, maintaining accurate financial tracking, building relationships with external event industry contacts, overseeing event production (especially film shoots), and providing administrative support for the rentals program.

Qualifications:

  • One or more years of related professional experience, preferably within a museum or hospitality setting
  • Team player with the ability to navigate multiple projects and competing priorities
  • Ability to solve problems under pressure in a fast-paced environment
  • Excellent project management and organizational skills
  • Meticulous attention to detail
  • High level of motivation and a demonstrated sense of agency and proactive thinking when completing assigned projects and tasks
  • Strong interpersonal, verbal, and written communication skills, with the ability to communicate clearly and concisely in a professional manner
  • Familiarity with collaborative tools (such as Google Apps), Microsoft Office, and project management tools (such as Slack)

Additional Qualifications:

  • Interest or experience in visual or performing arts and museum operations
  • Experience with databases, particularly Raiser’s Edge and Salesforce
  • Experience with Concur Solutions is desirable

Responsibilities:

Administrative Support

  • Manage calendar holds and field rental inquiries; maintain and update the status of inquiries, walk-throughs, and booked events
  • Organize meetings and trigger actions for event leaders
  • Provide high level client support
  • Prepare proposals, contracts, invoices, and receipts for confirmed and potential clients
  • Coordinate walk-throughs with potential clients, vendors, and in-house departments and partners
  • Communicate general pricing and date availability
  • Process invoices and payment requests
  • Track income and confidentially maintain client records
  • Participate in development of Rentals program and Museum partnerships
  • Make recommendations for the improvement of internal systems
  • Contribute to the ongoing development of new marketing opportunities as well as sales and partnership strategies
  • Collaborate with Development colleagues on the membership aspect of rentals
  • Other general support of rentals, as needed

Event Sales

  • Support Assistant Manager and Senior Manager to ensure departmental sales goals are met by selling space, identifying new and prospective clients, and securing repeat business
  • Support Assistant Manager and Senior Manager in building relationships with external events teams, planners, clients, location scouts, and partners
  • Help to vet and identify events and clients that are likely to generate revenue while also reflecting the Museum’s identity and advancing its mission
  • Support Director and Senior Manager with timely departmental financial tracking and reporting

Event Services

  • Independently lead select events, as assigned, and provide support on larger events
  • When leading an event:
  • Manage relationships with external events teams, planners, clients, and partners
  • Collaborate and communicate across departments with internal Museum teams (including Audio Visual; Graphic Design; Publications, Interpretation, and Editorial Services; Operations and Facilities Management; Security, Visitor Experience and Engagement; Curatorial Affairs; and Finance) as well as with Museum vendors (including catering and lighting), always working to nurture and maintain positive relationships
  • Coordinate event production schedules and supervise vendors throughout load in, setup, event, break down, and load out
  • Oversee development of logistics and create logistics memos
  • Identify event staffing, as needed
  • Implement event follow-up

Start date: Immediately

Reports to: Senior Manager, Events and Rentals

Position type: Full-time

Salary: $45,000

Union status: Union—UAW Local 2110

FLSA status: Non-exempt

Schedule: 35 hours per week with flexible work options that include hybrid work (up to two days remotely and three days on-site in a standard workweek) and staggered/compressed schedules (flexible scheduling arrangements as long as a 35-hour workweek schedule is met). Frequently required to work weekend and evening hours.
