About the Position

The Philanthropy Coordinator will execute support duties for the Philanthropy Department including gift processing and acknowledgement, ordering supplies, monitoring philanthropy inboxes, and completing annual license and permit renewals. The Philanthropy Coordinator is responsible for implementing a stewardship plan across all donor groups, and providing support for annual fund, major gifts, and corporate giving efforts.

Essential Functions:

Stewardship

  • Implement innovative, engaging stewardship program for key partners - including individuals and institutions.
  • Assist in planning donor tours, small gatherings/events, and recognition programs.
  • Coordinate and make donor thank-you phone calls.
  • Draft and create stewardship correspondence, including acknowledgement letters, donor impact reports, handwritten notes, emails, and marketing materials.
  • Personalize partner communication to acknowledge special occasions.

Major Gifts

  • Provide support for major gifts and planned giving programs.
  • Schedule calls, appointments, meetings, and events for major gifts team.
  • Coordinate major gifts calendar and prepare for visits.
  • Organize, coordinate, and maintain integrity of filing system for major gift and planned giving programs.
  • Assist in auditing major gifts portfolio to identify missing information and opportunities for donor discovery.
  • Conduct donor and prospect research.
  • Prepare donor reports for donor visits and support major gifts team in creating donor proposals.

Philanthropy Department Operations

  • Daily gift processing and reporting.
  • Merge, approve, and mail/email acknowledgment letters.
  • Order supplies and process invoices for the Philanthropy Department.
  • Monitor the Philanthropy Department mailbox and email inboxes.
  • Manage and renew yearly licenses and permits.

Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.
  • At least one year in professional environment; 1-2 years in fundraising preferred.
  • Knowledge of Association of Fundraising Professionals best practices, including the Donor Bill of Rights; excellent penmanship and written and oral communication skills.
  • Strong writing and research skills.
  • Exceptional ability to organize work, follow through on projects, anticipate project needs, function independently as well as part of a team, and work effectively with staff and volunteers.
  • Interest in changing the lives of low-income populations through job training and education programs.

Certificates, Licenses, or Registrations:

  • Must have valid WA driver's license and proof of insurance.

Computer/Technology Skills:

  • Skilled to intermediate proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams).
  • Skilled in fundraising software (DonorPerfect a plus)
  • Ability to learn new technology and software as related to the job.
