While many organizations engage in advocacy or fund scientific research, NEXT for AUTISM addresses the needs of people with autism and their families across the country, right now. Founded in 2003, NEXT for AUTISM has built numerous initiatives with respected partners including national organizations, regional agencies, and local entities to enhance services for people with autism and maximize resources. Mutually beneficial partnerships with organizations such as NewYork-Presbyterian Hospital, Columbia University and Weill Cornell medical schools, Cincinnati Children’s Hospital Medical Center’s Project SEARCH, the TEACCH Autism Program at the University of North Carolina, the JCC Manhattan, and Hunter College at the City University of New York, have led to the creation of extraordinary programs for children, adolescents, and adults.

NEXT for AUTISM is looking for a Senior Associate, Office Administration to support the day-to-day operations of our remote operations.

Position Location: Remote

Reports to: Executive Leadership

Job Summary:

The Senior Associate, Office Administration will fill a key role in ensuring NEXT for AUTISM’s daily operations run smoothly and efficiently. They will be responsible for managing the office and supporting administrative functions including executive leadership, human resources, IT, finance, and board meeting/member management.

The ideal candidate is a team player who can pivot to and from tasks easily and can handle multitasking. NEXT offers team members the opportunity for professional advancement and development and looks for highly motivated and driven individuals.

Responsibilities:

• Answer phones and manage inquiries.

• Schedule appointments and maintain calendars, including for the CEO.

• Prepare communications such as memos, emails, meeting minutes and other correspondence.

• Create and maintain filing systems, both electronic and physical.

• Keep staff and board contact lists up to date.

• Manage staff PTO forms and shared calendar.

• Provide assistance with on-boarding/off-boarding procedures of staff and board members.

• Schedule and coordinate staff meetings, retreats and board meetings, including quarterly reports, presentations and all participant communications and logistics.

• Purchase equipment, office supplies, corporate gifts.

• Manage select vendor accounts/relationships such as IT, insurance, state registrations and office space.

• Facilitate board documents for review and signature; manage annual board conflict of interest form distribution and collection of signed forms

• Assist with PowerPoint presentations

• Facilitate CEO’s review and signature on various documents for various departments.

• Research pricing and vendor selection, as needed.

• Booking and coordinating travel itineraries

• Support C-Suite Executives as needed.

Qualifications:

• Bachelor’s degree

• At least 3 years’ experience as an office administrator in an office or remote office setting

• Excellent computer skills including knowledge of Outlook, Excel, Word, PowerPoint and Asana. Knowledge of QuickBooks a plus

• Professional demeanor

• Superior verbal and written communication skills

• Must be organized, pro-active and able to multi-task, prioritize tasks and manage time accordingly

• Sound judgment, professionalism, and positive attitude

• Should have the willingness to take initiative and learn new tasks

• Previous experience in non-profit administration a plus

• Flexibility to work outside of job description parameters, when needed
