ABOUT THE POSITION: 

We are looking for a savvy and mission-driven Executive Assistant to provide outstanding support to our Chief Executive Officer, Gisele Castro. Gisele has been exalt’s ED since 2016, and she has taken the organization from a start-up phase, with a million-dollar budget, to a well-established one, exponentially increasing the number of youth served and growing its budget to over $6 million -- always keeping our youth at the center of everything she does. She is laser-focused on transforming young people's lives and continuously leverages her expertise and vision as a leader, speaker, educator and practitioner to build strong relationships across all levels of government and society, resulting in tangible, measurable and scalable, positive outcomes for justice-involved youth, as well as corporate and industry partners across the nation and New York.

 

The Executive Assistant is a critical position, focused on supporting and maximizing the day-to-day productivity of the Chief Executive Officer. The Executive Assistant is responsible for 1) managing the Chief Executive Officer’s calendar, managing priorities and follow-up items, and handling all administrative responsibilities as assigned by the Chief Executive Officer, and 2) supporting the Board of Directors.

 

Core Responsibilities include:

·      Assist the Chief Executive Officer with managing all external and internal communications including but not limited to: drafting emails and correspondence, both directly and on behalf of the Chief Executive Officer, maintaining records, taking thorough notes in internal and external meetings, and compiling necessary documents and research for all external and internal meetings.

·      Conduct research and prepare briefing materials for a variety of meetings and issues to support the Chief Executive Officer.

o   Create daily briefings containing all relevant details for the following day such as email threads, agendas, and supporting materials.

o   Research, assemble, and analyze information. Type reports, briefs, agendas, and minutes. Proofread for spelling, grammar, and appearance, making appropriate changes.

·      Provide strategic and accurate calendar management.

·      Manage the Chief Executive Officer’s travel arrangements and conference/meeting preparations.

·      Oversee administrative duties for the Chief Executive Officer: expense reports and timesheets management.

·      Coordinate and participate in internal and external meetings as needed to facilitate next steps on behalf of the Chief Executive Officer.

·      Maintain electronic filing systems.

·      Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the organization.

·      Prioritize inquiries and requests, troubleshoot with little guidance, make judgments and recommendations to manage day-to-day engagements.

·      Assist in planning, coordination and execution of special events and projects.

·      Organize the logistics for meetings, special events and board meetings to ensure that the Chief Executive Officer and the organization are represented with excellence.

 

Board of Directors Liaison:

·      Develop an annual Board and committee meetings schedule.

·      Support Chief Executive Officer, Board Chair and other Board Members with new Board Member orientations as needed. 

·      Maintain Board resolutions, minutes, and board packet files. 

·      Schedule and organize Board meetings/calls. Responsible for all meetings’ logistics: ensure materials are printed, food and refreshments are ordered, etc.

·      Taking attendance and minutes for all meetings. 

·      Provide support to the Board of Directors as needed. 

 

CANDIDATE REQUIREMENTS: 

To be considered for this critical, high-level position, candidates should possess the following: 

  • Mission oriented.
  • Strong work ethic and demonstrated passion for working with diverse populations.
  • Minimum three to five years of experience supporting an Executive.
  • Experience working with Boards.
  • Acute time-management, keen attention to detail, superior organizational skills, ability to multitask, take initiative and prioritize effectively.
  • Excellent interpersonal, analytical, and decision-making skills.
  • Excellent writing, proofreading, and research skills.
  • Capacity to embrace change at a moment’s notice, shifting priorities instantly.
  • Proficiency in solving unexpected problems with clear thinking and creativity.
  • Proficiency in a variety of software and online platforms, including Microsoft Office Suite, Gmail, Google Suite, Mac and PC products.

 

LOCATION: New York, NY (hybrid position).

 

COMPENSATION AND BENEFITS

exalt is prepared to offer a very attractive compensation package, including a competitive base salary of $80,000–$100,000, commensurate with experience, as well as health, dental, and vision coverage; life insurance; 401k retirement plan with employer matching contributions; health reimbursement account; commuter and parking flexible spending accounts; paid time off; and paid parental leave, among others.
