Executive Director Job Description

In 2004, with rising crime and drug abuse rates, a group of dedicated community members and funders banded together to support youth in Rutland County, Vermont. The outcome was a centralized youth-service organization, The Mentor Connector (TMC), built on the belief that EVERY YOUTH deserves to feel valued, supported, and welcomed within their own community.  Today, in addition to its 1:1 mentoring services, The Mentor Connector provides family mentoring, clinical counseling services, emergency housing for homeless youth, and a transitional living program.      


The Executive Director provides strategic vision and leadership to the organization, collaborating with the Board of Directors to determine and implement a shared direction while ensuring budget, staff, and priorities are aligned with TMC’s mission. The Executive Director reports to the Board of Directors.

Core Responsibilities include:

Program Planning and Operations Management:

●    Oversee the daily operations of the organization, providing direction for program strategy and efficiency.

●   Ensure current programs provide a consistently high level of professional service.

●    Ensure TMC operates in compliance with all state and federal laws and regulations.

●    Ensure the programs and services offered contribute to the organization’s mission and reflect the priorities of the Board.

●    Conduct needs assessments and evaluation of program activities; Monitor and track program outcomes to ensure they are in line with strategic goals and objectives and that grant obligations are met.

●    Engage with the community in shaping and participating in the programs and goals of the organization.

●    Work closely with the Board, providing regular program updates, assessing, and addressing issues that affect TMC, and disseminating information between staff and the Board.

Personnel:

●     Oversee all aspects of HR policies and procedures and ensure

compliance with all state and federal employment regulations.

●     Identify and implement staffing requirements to ensure efficient operations.

●     Recruit, select, onboard, and retain staff that have the skills and abilities to help further the organization's mission.

●     Document and communicate job responsibilities and expectations, and regularly evaluate, and provide on-going support and coaching to staff.

●     Ensure staff meet continuing education requirements and have opportunities for career development. Empower employees to maximize their potential as professionals by providing opportunities for training, reading, and membership of appropriate professional organizations.

●     Promote a positive work environment.  Manage, support, and empower the staff to thrive in their roles and maximize their potential as professionals while maintaining a welcoming and inclusive work culture

●     Maintain and enhance TMC’s organizational culture and ensure each team member feels valued and is working in an environment of trust and respect.

Financial Management:

●      Prepare annual operating budget and present to the Board for approval. Convene Finance

Committee and report monthly on performance of the budget and makes mid-year adjustments as needed.

●     Operate within the approved budget, ensure maximum resource utilization and maintenance of the organization in a positive financial position.

●     Develop and maintain processes for proper recordkeeping and financial controls.

●     Supervise the preparation of accurate and timely financial statements in accordance with organization and Board required reporting needs, including monthly statements showing budget-to-actual income and expenses, monthly balance sheets and monthly statement of cash flow.

●     Oversee timely submission of all necessary financial and program information to program funding sources.

●     Engage a professional annual audit and oversees all necessary material submitted to the auditor.

Fund Development:

●     In partnership with the Board and in close collaboration with the Development Director, oversee the development of restricted and nonrestricted revenue to meet the operating budget, including individual donations, corporate partnerships, grants, and events.

●     Develop or deepen relationships with current and prospective donors and funding partners.

●     Oversee the development of an annual fundraising plan and monitor progress toward fundraising goals.

●     Work with the Development Director to identify funding prospects, develop proposals, and oversee all aspects grants management, including funder cultivation, stewardship, financial management of restricted funding, and reporting.

●     Assure timely and accurate database management of donors and prospects, and gift acknowledgments.

●     Negotiate government and non-government contracts, grants, and partnerships. Maintain regular communication and involvement with state and local funding groups.

Board Relations:

●     Facilitate strategic planning with the BOD to identify goals, strategies, tactics, and activities that will best enable TMC to advance its mission. Regularly assess the current state of the organization, general climate for youth engagement and success in southwestern Vermont, community needs and opportunities to set strategic goals and plan for resources necessary to achieve those goals.

●     Proven ability to shape and execute an organization’s strategy and successfully expand reach and impact in partnership with an engaged board of directors.

●     Support and participate in the standing committees of the BOD to meet regularly between full Board meetings. Prepare and disseminate materials for BOD meetings.

●     Work with the Governance Committee to identify and recruit new members to the BOD; actively engages Board members to use their unique talents to contribute to the success of TMC.


CommunityRelations/Advocacy:

●  Advocate for youth & family services by taking leadership role in broad-based prevention and early intervention efforts.

●     Serve as public facing representative of The Mentor Connector and ensure that the mission, programs, and services are presented in a strong positive image.

●     Keeps up to date on federal, state, and local laws, requirements, funding, and issues that may affect TMC or Rutland County youth.

●     Create and execute strategies to educate the public about the organization.

●     Supervise production and distribution of all promotional materials, the maintenance of the organization’s website, and other social media platforms.

●     Pursue, maintain, and build constructive working relationships and collaborative arrangements with community groups, organizations, and key stakeholders.

●      Promote the organization by attending relevant community events and regular meetings


Facility: Assure The Mentor Connector provides a welcoming and safe environment for staff, mentors, mentees, families, and visitors alike.


The selected candidate will possess:

●     Preferred Master’s Degree in related field with minimum 7 years’ experience; OR B.A. Degree in Human Services, Counseling, or related field, with minimum of 10 years’ leadership experience in youth development, community engagement, the administration of programs; and/or an equivalent combination of education and experience.

●     Experience as a pragmatic change maker that utilizes vision and strategic thinking and vision to perceive opportunities for program growth and improved program delivery.

●     An understanding of the issues confronting Vermont youth.

●     Strong financial management skills, including

budget preparation, analysis, decision making and reporting.

●     Active fundraising experience, with an understanding of nonprofit fundraising strategies, and major donor relations.  A history of successfully generating new revenue streams and improving financial results.

●     Ability to build strong diverse teams and actively engage with staff. Demonstrated appreciation for staff, solicitation/incorporation of their input, and a positive working environment.

●     Ability to work with a diverse community of youth, parents, teachers, Board, and community to build a positive, respectful environment

●     Excellent coalition building skills and previous success in establishing partnerships with individuals and organizations of influence, including civic leaders, city and state officials, nonprofit agencies, and for-profit entities.

●     Experience and skill in working collaboratively with a board of directors.

●     Outstanding presentation and communication skills. The experience and natural ability to be an articulate spokesperson, relationship builder and organization champion.

●     Strong time management and organizational skills a must.

●     Ability to work independently but also a team player with a “roll-your-sleeves up” attitude.

●     Ability to work varied hours to meet the needs of clients (including nights and weekends).

●     Success clearance through fingerprint-based FBI background check must be completed prior to hire.
