POSITION SUMMARY

The Finance/HR Coordinator performs Verde’s payroll, HR systems and AP processing. They report and work closely with the Finance Director. The Finance/HR Coordinator will be responsible for payroll and benefits processing in accordance with Verde’s policies and employment law; administer confidential HR databases related to payroll, compensation and benefits; assists the Finance Director in the development of personnel files, record keeping, budgets and projects as needed. Additionally, this position is responsible for maintaining accurate recordkeeping systems for accounts payable, personnel, reporting and other finance related special projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Finance 

  • Independently process accounts payable including review of check requests, and invoices, preparation and disbursement of checks, ensuring accurate budget component coding and payment authorization.
  • Support Operations Coordinator with the collection of credit card receipts, invoices, and other financial documentation to log and enter as Cash Disbursements & AP in MIP.
  • Log all incoming AR receipts to prepare bank deposits
  • Reconcile monthly bank statements to finance
  • AR grant reimbursement/contract invoices, prepare and send out invoices for all programs 
  • Manage all aspects of vendor recordkeeping including the processing of annual 1099 forms and subsequent IRS filings.
  • Support month-end and year-end close process
  • Assist with presentation of financial information to internal and external recipients.
  • Perform general accounting duties as well as other assignments from Director of Finance and Executive Director.

Payroll & Personnel files

  • Ensure that employee bi-weekly payroll is processed accurately and timely.
  • Manage EWS timekeeping and HRMS system; ensuring systems are set-up and updated to reflect current cost allocations, current employee base, including wages, benefits, sick and vacation time.
  • Monitor and maintain records for Leaves of Absence as well as Vacation, Holiday, Personal and Sick time balances and ensure amounts are correct.
  • Maintain employee files and records in electronic and paper form.
  • Maintain and update job descriptions as needed.

Hiring & Onboarding 

  • Support Verde’s Hiring Managers in recruitment and hiring process, including: the development of the job description, coordinate job announcement communication internally & externally with Verde’s communication & operations coordinators 
  • Maintain internal tracking documents related to applicants and hiring decisions
  • Coordinate the hiring process with internal hiring committees & communicate with all candidates about next steps/decisions 
  • Coordinate employee on-boarding, including: complete required paperwork and communicate organizational policies & procedures
  • Coordinate employee on-boarding with Operations Coordinator to set new employee with all their IT needs
  • Provide information about employee benefits and assist employees with benefit enrollments and changes

General HR 

  • Convene & assist the HR committee in the development and implementation of human resource policies and procedures.
  • Biannually update Verde’s employee handbook & compensation philosophy 
  • Answer general internal and external human resources related inquiries or requests
  • Facilitates constructive and timely performance evaluations
  • Handles discipline and termination of employees in accordance with personnel policies
  • Provide support to employees in various HR-related topics such as leaves, compensation, grievance matters, organizational change, and all other employee-relations matters.
  • Keep up-to-date and comply with the latest Human Resources trends, laws, and best practices.

Administration

  • Attend Verde All Staff meetings

Knowledge of:

  • Strong knowledge of accounting, payroll processing, account reconciliations, basic journal entries, and other related financial transactions.
  • Abila MIP accounting software is a plus; skilled in Excel, Microsoft Office, and use of databases.
  • Accounting and reporting for Nonprofit, small business, social enterprises and/or micro- enterprises.
  • Understanding of, exposure to or interest in social justice, entrepreneurship, and systems change strongly preferred. 

Education and Experience:

  • Associate’s degree in accounting and/or equivalent work experience.
  • Two or more years of payroll and AP experience in a nonprofit, for-profit or hybrid environment.
  • Demonstrated ability to design and implement process improvements.
