Job Title: Operations and Finance Assistant

Status: Full-time, non-exempt

Location: This is a hybrid position based in Oakland, CA.

Reports to: Operations Manager

Salary: $32.31-$36.06 an hour ($67,000-$75,000/per year ) depending on experience


As a matter of equity, Transgender Law Center’s salaries are determined in part by local cost-of-living calculations. The posted salary range assumes that the candidate will be located in New York City or the San Francisco Bay Area. Candidates who intend to work remotely from less expensive locations should expect a commensurate reduction in salary range.

POSITION SUMMARY

TLC is seeking a mission-aligned Operations and Finance Assistant to join our team, which works at the heart of a movement of transgender and gender nonconforming (TGNC) people and allies to change laws, policies, and attitudes to ensure that we can all live as our authentic selves.

The Operations and Finance Assistant will join a team of passionate, smart, and dedicated individuals who work hard, laugh easily, and are eager to learn and grow together as we change the world from the micro-administrative to the macropolitical scales.


As part of the of the Operations team, the Finance and Operations Assistant will be responsible for the day-to-day functioning of the TLC office in Oakland and will provide support for TLC’s other offices in administration, finance, human resources, data and IT. This full-time, nonexempt/hourly position is an opportunity to gain experience and build skills in many areas of nonprofit operations and finance.


This position will work with collaboration, support and supervision from the Operations Manager and the rest of the Operations/Finance and Data teams composed of our Finance Manager, Director of Finance and Operations, and Senior Data Managers. The Operations and Finance Assistant will also participate in organization-wide internal development activities and initiatives with other staff.


PRIMARY RESPONSIBILITIES


Operations and Information Technology Management:

  •  Maintain the TLC Oakland office as a comfortable, clean, and organize work environment.
  • Organize office, kitchen, and IT supplies, ensure that needed items are always in stock, and manage returns
  • Maintain office equipment (phones, printers, copiers) and schedule servicing.
  • Collect and distribute mail, faxes, and general voicemails daily, and take mail to Dropbox as needed.
  • Organize and maintain filing systems and offsite archives and storage
  • Support hybrid remote/office work and staff
  • Assist staff with basic IT troubleshooting.
  • Support internal communications practices, culture, and technologies.
  • Monitor general inquiries to TLC and assist in organizing the office email
  • Co-lead operations and IT trainings for staff
  • Assist in assessing and designing operations processes, technologies and interfaces for maximal disability access
  • Maintain workplace safety and emergency procedures at the Oakland TLC office.
  • Support event logistics for meetings and retreats as needed
  • Document operations and IT policies, procedures, and guides
  • Other duties as assigned.

Finance Support:

  • Assist in the preparation of financial expensing and reports.
  • Bill.com bill entries on a weekly basis.
  • Provide administrative support to the finance team as needed.

Other Work Areas:

  • Assist Data team with data cleanup and other data work
  • Other project management and assistance as needed, especially with finance, as a collaborative member of Operations/Finance team and with other teams like the People and Organizational Culture team
  • Participation in organizational development activities, including racial caucuses and political and professional education
  • Intentional work on personal and collaborative team sustainability and capacity awareness/management

QUALIFICATIONS and REQUIREMENTS

  • Ability to work in the Oakland office 2-3 days per week
  • Knowledge of general office practices
  • Ability to lift up to 50 lbs (files/boxes, equipment, supplies)
  • Two years’ professional work experience.
  • Proficiency and flexibility with office technology, including video conferencing, Microsoft Office Suite, including Excel, and cloud-based
  • applications
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple projects and tasks.
  • Skill at working collaboratively both within an organization and with other groups
  • Experience and knowledge with pro-TGNC issues and communities and/or Black feminist intersectional anti-oppression work
  • Experience working with people from a variety of different racial, ethnic, socioeconomic, educational, religious, sexual, gender, and generational backgrounds
  • A demonstrated commitment to a broad range of social, racial, and economic justice issues and an understanding of the multiple communities TLC represents
  • Enthusiasm for the work of the organization and its potential
  • Preferred: experience arranging travel and lodging.
  • Preferred: familiarity with expensing systems like Expensify/Abacus, and/or Bill.com
