OPERATIONS OFFICER

We’re looking for a resourceful, tech-savvy professional with an operations or business background to help us streamline our operations, build systems and processes to help us scale our programs, and amplify our impact.

OVERVIEW

As our first Operations Officer, you will partner with the Executive Director and work in collaboration with our team of seven to develop and improve PiA’s operational infrastructure as we grow. You will support the PiA team to efficiently and effectively implement Advancement and Program plans and partner with PiA’s outsourced bookkeeping, accounting, and financial advisory services to ensure timely resource delivery and reporting to PiA stakeholders. 

When it comes to running the business of PiA, you will be our problem-solver-in-chief, working to ensure that the PiA team has access to the tools, information and resources needed to complete their work. You will provide high-quality administrative support to the Executive Director and Board of Trustees so they can execute their fiduciary duties. You will ensure timely and accurate gift entry – and prompt and enthusiastic acknowledgement of gifts made to PiA.

We are looking for someone who brings an entrepreneurial mindset, a strong orientation towards customer service, a no-job-is-too-small attitude and enthusiasm to tackle the opportunities and challenges associated with growing a small organization.

BENEFITS

We love the great people the PiA mission attracts, so we like to spend some days together in the office, though we also value flexibility and respect personal work styles. This is a hybrid position with four days per week based in our Princeton, NJ office and one per week remote in your home office. We offer a competitive compensation package with a salary of $60,000 and and benefits that include a 3% retirement contribution, 401(k) plan, premium-free health and dental insurance, paid time off (three weeks of vacation, sick days upon request, 10 holidays, two personal days) and an annual wellness stipend. 


KEY RESPONSIBILITIES

Program 

  • Ensure timely delivery of reimbursements and grant payments to participants
  • Manage participant insurance enrollment

Advancement 

  • Process and record gifts made via check, wire, and online portals
  • Ensure accurate and timely gift entry in donor database and reconcile with bookkeeper
  • Ensure timely and accurate acknowledgement of all gifts made
  • WIth support of outsourced bookkeeper, provide financial reporting for grants, special gifts and special funds for stewardship

Finance, Operations and HR

  • Develop and implement systems to improve efficiency of PiA operations
  • Maintain an efficient office environment, including managing storage spaces and inventory of supplies and equipment
  • Maintain a robust internal controls environment
  • Oversee all Accounts Payable and Accounts Receivable 
  • Respond to inquiries from outsourced bookkeeper
  • Oversee enrollment for health, dental, and 401K plans
  • Oversee IT, including developing and managing tech stack and equipment for team
  • Liaise with key vendors, including auditor, outsourced bookkeeper, banker, insurance brokers, payroll provider, and other advisors
  • Welcome guests and callers to PiA

Governance

  • Schedule and coordinate Board of Trustees and select committee meetings
  • Ensure timely delivery of pre-read materials and meeting minutes
  • Manage annual compliance paperwork for Trustees
  • Set up and administer board portal


QUALIFICATIONS

Here’s what we are hoping you’ll bring to the team:

Required qualifications

  • 3-5 years of administration and/or operations experience
  • Extremely organized, with the ability to multitask, effectively balance day-to-day duties and project work, and meet deadlines
  • Tech savvy, with proficiency in MS Office Suite and Google Suite, with ability to learn new programs quickly
  • Entrepreneurial mindset, with a resourceful and solutions-focused approach to tackling challenges
  • Team player with a strong orientation to customer service and a no-job-is-too-small attitude
  • Strong verbal, written, and interpersonal skills, with the ability to work well across all levels of the organization, and with people with different work and communication styles
  • Experience working with vendors and partners to develop solutions appropriate for the organization
  • High level of integrity and dependability with a strong track record of prioritizing time and effort appropriately 
  • Good judgment and discretion, with a strong respect for confidentiality
  • Ability to work some evenings, early mornings and weekend (for events and board meetings) 
  • Ability to work for any employer in the United States

Desired qualifications

  • BA/BS degree in Accounting, Finance, Business, Operations Management or a related field
  • Knowledge of GAAP accounting principles and practices
  • Proficiency in accounting software
  • Experience working across offices and time zones
