Position Summary
The IOCDF Event Manager’s primary responsibility is to assist the Associate Director of Events by providing logistical support for the various IOCDF conferences and events. This position will report directly to the Associate Director of Events.
Qualifications to Perform the Job
- Bachelor’s degree (or equivalent) is preferred.
- A Certified Meeting Professional (CMP) certification is preferred.
- 4-5 years of experience working in Events, with at least 2 years as an Event Manager (or equivalent) of both in-person and virtual events is required.
- Experience working with hotels, including negotiating and managing contracts, BEO’s, room blocks, and special events, is required.
- Experience with event coordination technology, including event management software (CVENT), online registration platforms, Zoom, and event evaluation survey systems is strongly preferred.
- Experience with event coordination in a non-profit setting is preferred.
- A commitment to mission based work is strongly preferred.
- Superb oral and written communication skills and the ability to tailor a message to varied audiences.
- Proficiency with Microsoft Office/Google Suite products is required.
- Flexibility to travel domestically for events is required.
- Experience with Salesforce or similar customer relationship management software strongly preferred.
- Experience with continuing education protocols is preferred.
- Proficiency in Spanish is a plus.
Duties and Responsibilities
Event Coordination
Under the management of the Associate Director of Events, the Event Manager would assist with coordinating varying aspects of the IOCDF’s event calendar, including in-person and virtual events:
- Assist with overseeing contract negotiation, including managing room blocks, BEOs, special events, etc.
- Ensure the IOCDF is receiving competitive pricing and quality work for all events by frequently requesting bids and proposals from multiple vendors, and evaluating these partnerships on an annual basis (or as needed).
- With the Operations Dept, develop and maintain event registration processes within the IOCDF’s event management system (CVENT), including making registration adjustments for clients as needed.
- Serve as a point-of-contact at registration, whether online, over the phone, or in-person, assisted by the Event Coordinator.
- General administration for presenters (return emails answering questions about conferences, etc.).
- Oversee volunteer program at the conferences (soliciting, training, oversight, etc.).
- Liaise with the Program and Training Department for event content/agenda support.
- Support presenter/faculty onsite for all events.
- Assist in the logistics and administration of the Walk and Training Institute programs.
- Ensuring CEU/CME approval and compliance for all programs listed above.
