We are looking for an Operations & School Support Manager that can manage operations, develop relationships, and deliver impact. The Operations & School Support Manager will manage the operations of the Oakland Enrolls common charter application, operational support to partner schools, as well as the overall family experience when researching and applying to public charter schools. This will include, but not be limited to operations, project management, software management, data analysis, customer support, communications, managing vendors, and assisting with various community outreach activities. The Operations & School Support Manager is a full time, remote position, but will require occasional attendance at community outreach events in Oakland. Preference to candidates who reside in the Bay Area.

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage year-round operations of the online charter school application, including launch, major content updates, system functionality, and lottery readiness
  • Provide structured operational support and training to partner school administrators, ensuring adherence to MOU terms and data privacy policy
  • Manage relationships with key school staff
  • Manage all data sets and conduct regular analysis to provide updates to team and partners that allows for data-driven decision making
  • Manage up to two team members
  • Manage phone and text family support structure
  • Track and analyze data that will allow Oakland Enrolls and partner schools to more effectively understand enrollment trends
  • Identify areas of improvement with enrollment system platforms and work to implement them
  • Manage vendor relationships with operations and software platforms (SchoolMint, RingCentral, etc.)
  • Improve the school partner and family experience by collecting feedback and improving tools and support structures
  • Manage annual operations budget
  • Support Outreach and Communications team by attending/facilitating community events for families, as needed
  • Support the research of new site development opportunities across the Bay Area
  • Support Executive Director with various projects

SKILLS/KNOWLEDGE

  • Commitment to equity of access for families, particularly with hard to reach families/populations
  • Passionate about developing and maintaining relationships and building community partner capacity
  • Excellent written and verbal communication skills
  • Ability to develop project plans, manage and execute them to successful completion, and conduct tasks from high-level strategy to granular details
  • Ability to work collaboratively and effectively with people of diverse backgrounds and opinions
  • Ability to proactively tackle challenges and organize/prioritize multiple assignments
  • Ability to manage data sets and develop concise reports and analysis
  • Familiarity with public education operations and politics
  • Desire to take ownership and complete work assignments
  • Comfortable in a startup environment
  • Proficient in GSuite tools
  • Ability to quickly learn and grasp online database tools and software
  • Proficient in Microsoft Excel
  • Familiar with customer service operations and tools
  • Fluency in Spanish preferred

EXPERIENCE

4-6 years of operational experience in a position(s) where a candidate:

  • Developed and managed front and back office support using software
  • Managed a team and vendor(s) to successful results
  • Project managed with a high degree of detail orientation
  • Managed data sets and conducted data analysis
  • Interacted with families via over the phone support and/or community outreach
  • Demonstrated strong time management and juggling multiple responsibilities
  • Experience serving high-needs families

Previous experience with the following a plus:

  • Charter school operations and/or enrollment processes
  • Oakland K-12 education - schools or organizations
  • A startup community outreach organization

REPORTING STRUCTURE

The Operations & School Support Manager will report directly to the Executive Director of Oakland Enrolls. This position will manage up to two full-time employees.

EDUCATION AND TRAINING

Bachelor's degree required. Additional years of experience can replace the bachelor’s degree requirement.

SALARY

The salary range for this position is between $75,000-$90,000 annually.
