The Central Baltimore Partnership is seeking an experienced and organized Administrative Coordinator to join our diverse and energetic team. The primary responsibilities of this position are to coordinate administrative support for executives, programs, governance, and finances of a small but complex community development nonprofit organization. As one of primary points of contact for CBP’s over 120 partners, CBP is looking for a welcoming and supportive candidate to fill this valued position.

This position is crucial to rounding out CBP’s team and operations. The Coordinator will have the opportunity to help shape and lead internal procedures and policies, organizational and staff development, executing exciting events, and special projects/research of interest. CBP is looking for a highly motivated team member to fill this critical long-time vacant role.

Essential Functions:

Financial and Administrative

Work with accounting firm and staff to:

·      Develop and process invoices, requests for payments and reimbursements for multiple accounts and funds

·      Oversee procurement: research purchase options, collect all receipts and reconcile monthly statements

·      Monitor and assure compliance with grant reporting requirements

·      Prepare Quarterly Progress Reports for board, coordinating with CBP staff and external partners

·      Track and prepare donor recognitions

·      Assist in preparation of funding proposals and reporting

·      Ensure organized, up-to-date electronic (and hard copy) filing systems for financial and administrative materials

·      Provide critical staff support for CBP’s Strategic Plan process

·      Manage all administrative duties for CBP’s development activity: funding compliance and ACH transfers, property bill payments, coordinating work group meetings, and other duties as needed

·      Assist CEO by managing correspondence, collecting and analyzing information, and initiating telecommunications

Office Management

·      Help create an open, welcoming, and inclusive office community

·      Maintain all office equipment; schedule repairs and maintenance

·      Oversee office supplies, inventory, and ordering

·      Maintain all account credentials (login and passwords)

·      Answer main phone line, general emails, and handle routine inquiries

·      Assist respective supervisors in on-boarding new staff

·      Manage health care, retirement, and other benefit plans

·      Coordinate with landlord to ensure safe, clean, orderly, and professional work environment

CBP Team Support

·      Support staff in community development project-based work, including critical research and recommendations on organizational operations, policies, and/or special projects of interest

·      Handle complex schedules and calendar support for CBP senior staff

·      Coordinate internal communication and planning with staff

·      Plan and coordinate large and small in-personal and virtual events, including Board and Committee meetings, bi-monthly Partner meetings, Task Force meetings, Annual Honor Roll event

·      Make travel arrangements for CBP team members

·      Contribute to team effort by accomplishing related results as needed

·      Assist with social media and other external outreach and communications, including but not limited to marketing/promotional collateral. 

Qualifications and Skills:

Bachelor’s degree preferred, with a focus in Public Administration and/or related fields; minimum Associate’s degree acceptable. Five years of administrative experience preferred, three of which must have included increasingly complex responsibilities.

  • Strong written and oral communication skills, efficient work habits, strong organizing skills
  • Proficiency on the Microsoft Office Suite and telephone protocol
  • Ability to multitask and accomplish tasks efficiently and meet multiple deadlines
  • Strong organizational and information management expected
  • Highly detail focused
  • Knowledge of office practices, procedures, systems, and equipment
  • Ability to produce accurate work and prioritize effectively
  • Ability to prepare and maintain budgets and generate Excel and other reports
  • Ability to maintain confidentiality and use discretion
  • Demonstrated experience organizing, planning and coordinating events
  • Ability to advance CBP’s mission and commitment to collaboration, equitable development organizational diversity
