    JOB OVERVIEW

    Philanthropy Northwest is looking for someone with strong systems, organizational, and relationship building skills to support building a strong membership at PNW. You will work with the Director, Membership and Development and the Specialist, Salesforce and Knowledge Management to recruit, renew, steward, and support members of PNW. This position balances being able to use tools to manage processes and large data sets with accuracy and using interpersonal skills to connect with members. This role requires an ability to communicate internally and externally while supporting the work of membership across all teams at PNW. The right person will be able to bring a racial equity lens to all of their work and be able to communicate PNW’s values around equity.

    Reports to – Director, Development & Membership

    Location- Hybrid position based in Seattle or anywhere in Alaska, Idaho, Montana, Oregon, Washington, or Wyoming state, with periodic in-person presence at HQ in Seattle.

    PRIMARY DUTIES AND RESPONSIBILITIES

    Membership Systems and Operations (65%):

      • Manage the technical aspects of the membership acquisition and renewal process including supporting the online membership renewal forms, setting up database systems, email communications, online content, and progress reports.
      • Manage invoicing, proposals, and timely collection of dues revenue. Work with the finance team to maintain organized revenue documentation and reporting.
      • Regularly enter and update data in Salesforce ensuring data integrity of membership program; prepare and update tracking reports that measure progress of membership campaigns, events, and other revenue generating activities. Analyze and synthesize data to assist the Director in presenting findings to staff and board members on membership trends and retention rates.
      • Assist in maintaining the membership content of the website and monitoring membership communications channels including email inboxes, phone inquiries, and list serves.
      • Represent membership perspectives and positions on staff committees and collaborate with Director to incorporate learnings into departmental goals around member engagement and diversity.
      • Be an organizational resource for membership strategy especially with The Learning Network and stay current on industry trends around membership
      • Research members and prospective members to make informed decisions around membership acquisition strategies. Prepare research dossiers for the membership team and Leadership Team.

    Membership Communication and Relationship Building (35%):

      • Act as liaison to members with inquiries around research requests, technical issues, and various customer service-related queries throughout the year.
      • Support continued member engagement through communicating about programs. facilitate member engagement efforts, do outreach to members around programming that would be of interest to them, and receive member feedback.
      • Host one-on-one member onboarding and member engagement calls. Share resources with members and clearly communicate about the benefits of joining PNW’s member network.
      • Support staff, especially below the executive level in building relationships with member organizations, providing strategic guidance and intelligence.
      • Manage the process for gathering and responding to member feedback, including the biannual survey and collecting response trends from communications and meetings. Work with the Director to convey feedback to staff and board.

    Other:

      • Engage in enterprise-wide activities and team building, including staff meetings, peer coaching, learning and development, annual conference, staff committees and other enterprise events throughout the year.
      • As needed support PNW programming that is of interest to members for example serving as chat monitor on virtual meetings/trainings and assist with pre- and post-program-related tasks.
      • This is not a comprehensive list of duties and may be asked to take on other administrative and project management tasks, as needed.

    REQUIRED QUALIFICATIONS

      • Two years of relevant administrative experience.
      • Exceptional written and verbal communication skills, with an ability to capture and synthesis relevant information quickly and effectively.
      • Interest in the field of philanthropy and/or social impact.
    • Strong skills and proven success in project coordination with a high level of organization and strong attention to detail.
    • Proven ability to develop and maintain systems to track data and interactions.
    • Ability to track multiple projects at once.
      • One year of relevant database experience (Salesforce preferred.) Volunteer experience is considered relevant.
      • Strong commitment in advancing racial equity and social justice within a team, organization, or community.

    PREFERRED QUALIFICATIONS

      • Experience with Microsoft Suite of tools.
      • Experience working for a membership based organization or a philanthropy supporting organization.
      • Background in doing mass communications.
      • Ability to travel within the six state region of Philanthropy Northwest.
      • Understanding or knowledge of the six state region of Philanthropy Northwest.

    SALARY AND BENEFITS

    The annual compensation for a full-time position includes a package of benefits consisting of medical, dental, retirement contribution by employer (6% of salary and additional up to 2% dollar to dollar match (up to $1,800/year) to employee contribution), professional development paid holidays and generous vacation policy, and flexible schedule.

    Annual salary range is $70,000 - $84,000 depending on experience.
