GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

The Associate Manager for Friends Group, Modern and Contemporary Art, is responsible for all administrative functions associated with the Friends of Modern & Contemporary Art (the Modern Circle, a group of approximately 70 paying members), including, but not limited to, membership and event programming. The Associate Manager for Friends Group, Modern and Contemporary Art, also manages the Modern and Contemporary Visiting Committee (an advisory board to the Department), organizing bi-annual meetings, onboarding new members, and communicating departmental news. Working closely with the Chair, the Associate Manager for Friends Group, Modern and Contemporary Art, will also assist with Modern & Contemporary fundraising and donor cultivation and serve as liaison with the Development Office, and with Director’s Office as appropriate.


PRIMARY RESPONSIBILITIES & DUTIES:

  • Assist Chair in fundraising activities by managing correspondence with current and prospective donors, setting up meetings and following-up;
  • Serve as the primary point of contact for all Friends, Visiting Committee members, and departmental donors;
  • Organize and manage the Modern Circle schedule of events, including up to six events each season and an annual dinner; assist Special Events in planning and executing departmental exhibition openings;
  • Collect Friends membership fees, draft renewal and acknowledgement letters; identify and onboard new members;
  • Serve as a liaison between the curatorial team and development officers, relaying information regarding donors in a timely fashion.
  • Working with Development, and also Director’s Office (when appropriate), coordinate fundraising goals for exhibitions, acquisitions, and capital projects
  • Draft Chair’s remarks and presentations for all public speaking commitments, including exhibition openings, Friends’ events, etc.
  • Coordinate, and occasionally conduct, VIP tours with Visitor Services and curators;
  • Review monthly budget of the Friends cost centers;
  • Maintain member lists with updated contact information and data entry into the TMS constituent module;
  • Other related duties. 


REQUIREMENTS & QUALIFICATIONS:

Fully vaccinated with an FDA or WHO authorized vaccine (or approved for an exemption as a reasonable accommodation due to a disability, sincerely held religious belief, or pregnancy, or because you are a victim of domestic violence, stalking, or sex offenses).


Experience and Skills:

  • Strong interpersonal skills and absolute discretion are required in working with high level donors and supporters of Modern & Contemporary;
  • Excellent writing and communication skills;
  • Demonstrable ability to create and maintain precise and well-researched records;
  • Superior organizational skills; ability to work on a team and coordinate projects across departments;
  • Excellent time management and ability to maintain composure in a busy environment required;
  • Ability to work independently and as part of a team required;
  • Excellent interpersonal as well as written and verbal communication skills required.
  • Attention to detail with follow through;
  • Computer literacy, including Word, Excel, etc.;
  • Previous experience working in Special Events or with Donor Groups.


Knowledge and Education:

  • BA degree required, MA in Art History preferred
  • Minimum 2 years experience in a museum or similar environment
  • Experience in event planning preferred
  • Excellent written and spoken English
  • Proficiency in one other non-English language preferred
