Atlantis Community, Inc. has been advocating for people with disabilities for over 46 years. As a Center for Independent Living, we support the rights of people with disabilities to control their own lives by providing advocacy, life skills training, transition services (Youth, from nursing homes, and diversions from institutions) information and referral, and peer support. The mission of Atlantis is to advocate for all people with disabilities to be a meaningful part of an integrated community of their choice.

As Executive Assistant/Office Coordinator, you will be an integral part of the operations team and a member of the Atlantis Community. The Executive Assistant/Office Coordinator supports the Executive and Associate Directors. The person in this role must be creative and enjoy working within a small non-profit environment that is mission-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant/Office Coordinator will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant/Office Coordinator reports directly to the Associate Director. 

Essential Duties and Responsibilities:

Executive Assistant: ● Provide comprehensive support services to the Executive and Associate Directors that ensures outstanding communication and responsiveness ● Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements ● Support Executive and Associate Directors with internal and external communications ● Conduct research and analysis on issues of interest to the Executive and Associate Directors ● Manage all scheduling and travel logistics ● Transcribe minutes from meetings ● Prepare reports and correspondence for monthly board meeting and as otherwise needed

Supervisory: ● Supervision of 4 office support staff ● Supervision of the IT Administrator ● Supervision of 1 custodial staff

Office Coordinator: ● Welcomes and ensure visitors are directed to the appropriate staff ● Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and ordering supplies ● Providing real-time scheduling support by booking appointments and preventing conflicts ● Maintain polite and professional communication via phone, email, and mail ● Assume coordination for maintenance of office equipment ● Main contact for vendor support ● Asume reception duties when coverage is needed. ● Coordinate a variety of internal and community events ● Assist with information and referral as needed Qualifications Knowledge, Skill, and Ability ● Ability to work with minimal supervision ● Excellent written and verbal communication skills ● Provide excellent customer service ● Relate to persons of diverse backgrounds and abilities and establish and maintain effective working relationships ● Advanced knowledge of and experience with basic computer skills ● Advanced knowledge of Microsoft and Google Office Suite ● Ability to organize, prioritize, and plan effectively ● Must be able to maintain confidentiality ● Excellent time management and ability to meet deadlines ● Strong organizational skills and ability to multitask ● Problem-solving and decision making skills ● Proactivity and self-direction ● Interpersonal skills Education and/or Experience Required:

● High school diploma or equivalent ● Advanced degree preferred ● 1 year Customer Service experience ● 2 years of reception or assistant experience preferred

Physical Demands ● Must be able to sit for 30-60 minutes at a time at a desk
