POSITION OVERVIEW

The Human Resources & Executive Specialist is responsible to oversee organizational Human Resources administration and procedures for SKETCH, including groups on SKETCH’s Shared Platform. They are responsible for providing executive assistance to the Board of Directors, the Executive Director and Creative Director. They work with the Executive Director to establish short and long-term goals and ensure all activities are consistent with the mission and vision of SKETCH.

The Human Resources & Executive Specialist is responsible to oversee organizational Human Resources administration and procedures for SKETCH, including groups on SKETCH’s Shared Platform. They are responsible for providing executive assistance to the Board of Directors, the Executive Director and Creative Director. They work with the Executive Director to establish short and long-term goals and ensure all activities are consistent with the mission and vision of SKETCH.

RESPONSIBILITIES

Human Resources

● Support the development of organizational Human Resources policies and procedures in line with Employment Standards Act;

● Develop, implement and monitor hiring policies and procedures;

● Conduct onboarding and orientation of all human resources at all levels of the organizations including staff, placements and volunteers;

● Prepare all employment offers and job descriptions, under the direction of theExecutive Director;

● Prepare all contracts, under the direction of the relevant Manager or Director;

● Advise the Shared Platform groups on all elements of their HR, in partnershipwith the Shared Platform Coordinator;

● Coordinate and implement all aspects of hiring processes (hiring committees,postings, vetting matrices, interviews, references, etc);

● Maintain strong communication with the Financial Manager on HR and payrollchanges;

● Work with the Bookkeeper / Data Administrator to prepare and monitor timesheets, vacations requests, and other HR admin;

● Ensure all HR files are complete and up to date for the Auditor;

● Inform staff on their rights and responsibilities according to the SKETCH HR manual and employment law;

● Maintain strong internal communication with all SKETCH staff on staffing changes;

● Liaise with HR-related partners on projects as directed by the Executive Director;

● Administrate benefits for all eligible employees;

● Work with the Directorship team to support the navigation of any HR-related conflicts;

● other administrative duties as required.


Executive and Governance Related Support

● Supports the Executive Director and Creative Director with administrative duties;

● Schedules meetings/calls and maintains Executive calendars;

● Works with Executive Director and Board Chair to develop agenda and minute preparation;

● Ensures follow up on all matters as per minutes;

● Drafts/reviews incoming/outgoing correspondence;

● Organizes meetings/calls;

● Ensures all logistical matters are completed for Board Meetings, Committee Meetings and Board Retreats.


Administration

● Attend regular meetings as required as an active organizational team member;

● Utilizes strong project management skills and tools;

● Strong communication and administration skills including:

○ Tracking, evaluation and reporting

○ Consistent and timely e-mail communication

○ Strong accountability and time management skills including clear communication of absences and punctuality


Other

● Follows policies and procedures, Health & Safety standards and works in a safe manner;

● Strong problem-solving skills, including the ability to navigate multiple activities and challenges (barriers/obstacles);

● Sophisticated understanding of the creative process and arts practice;

● Established relationships with artists and educators working in the arts.


Strong Assets

● Lived Experience or Deep Knowledge of Poverty and Oppressions;

● Anti-Oppression work and/or experience (or training);

● Commitment to restorative justice practices;

● Strong communication and administration skills including the ability to navigate multiple activities and challenges (barriers/obstacles);

● Commitment to be a contributing member to a learning organization


Qualifications

College diploma or an equivalent combination of human resources and arts

administration experience.


Job Knowledge

● Extensive assistant experience preferably working in the non-profit/charitable system or an arts industry association;

● Knowledge of computerized software procedures and information storage;

● Experience with office practices; procedures and equipment;

● Experience providing administrative support to Boards;

● Resource development experience preferably working in the non-profit/charitable system or an arts industry association;

● Experience with HR practices, especially in the non-profit/charitable sector.
