The Inbound Sponsored Programs Manager focuses on a specific portfolio of grant-funded programs, which, depending on the size and scope of programs at any given time may encompass more than one program. As of this writing, this position will focus on the inbound overseas portion of the Kennedy-Lugar Youth Exchange and Study (YES) Program, managing all international and administrative programmatic components.
The Inbound Sponsored Programs Manager will maintain oversight of the overseas operations of the AFS organizational partners implementing the YES program to ensure that all contractual obligations are met. This position requires coordination with AFS partner organizations abroad, AFS-USA staff and volunteers, external stakeholders, and the U.S. Department of State.
DUTIES/RESONSIBILITIES:
- Oversight and coordination of AFS partner organizations abroad, including budget development and planning for programmatic implementation.
- Maintain communication protocols that bridge the AFS network relationships and connect cooperating organizations.
- Ensuring that programmatic elements specific to a grant are well understood and that a plan is created and executed in tandem with supervisors and across departments as needed.
- Manage the communication of participant support issues to funder and stakeholders as appropriate, including trend analysis and feedback to appropriate cooperating organizations to suggest program improvements or adjustments.
- Managerial responsibility of a team of six who work on overseas program components, recruitment admissions, travel logistics, alumni activity, and other projects.
- Responsible for fostering and maintaining positive relationships cross-departmentally within AFS as well as with external partners such as the U.S. Department of State, U.S. embassies abroad and other program implementing organizations.
- Manage program-specific logistics as needed, including travel, event, and orientation coordination, planning and implementation both interdepartmental and intra-organizational collaboration as needed.
- Serve as a resource for program, country and culture-specific information for staff and volunteers within AFS-USA, including providing periodic briefings for organizational leadership.
- Work collaboratively with relevant members of the Sponsored Programs, Development and Finance departments to ensure timely and successful responses to calls for proposals from relevant agencies and other sources.
- Oversee reporting as required to the funder and as needed for program management and analysis, as well as visibility internally and externally.
- Provide on-call support for student emergencies on program, as needed to AFS-USA on-call staff and other stakeholders.
- Effectively recruit, hire, retain, review and train employees. Make recommendations regarding the continued employment of direct reports.
- Identify staff development needs, encourage professional growth, and recognize staff.
- Other duties as assigned.
QUALIFICATIONS:
- 4-8 years of experience in international educational exchange field, admissions and recruitment, organizational development, or other related fields
- 3-5 years supervisory experience
- Demonstrated experience facilitating group meetings, delivering training content, and making presentations.
- Ability to think and plan in a strategic manner.
- Ability to effectively monitor plans to ensure progress on goals, define qualitative and quantitative success indicators for plans and make quick course corrections as needed as plans are implemented.
- Excellent written, oral communications and computer literacy skills including MS Word, Excel, Power Point, and database programs.
- Excellent customer service skills, ability to manage conflict/complaints in a positive and timely manner.
- Strong interpersonal communication skills, ability to maintain good rapport and cooperative relationships, and experience/high level of comfort in an intercultural setting Self-motivation, strong organizational skills, and ability to multitask.
- Availability and willingness to travel domestically and internationally if needed.
- Valid driver’s license
- Ability to maintain confidentiality of information acquired pertaining to participants, staff, and volunteers.
WORK EXPECTATIONS:
- The position works remotely from the NYC area or in the AFS-USA's NY office (preferred). The regular business hours of AFS-USA are Monday - Friday, 9AM - 5PM EST. However, you may work a schedule outside of these hours dependent on the needs of your department. In-person attendance during specific participant orientation events is required, which may include a few weekends.
- Requires travel up to 25% time and work on nights and weekends.
SALARY:
- $68,500/Annually plus benefits including: medical, dental, vision, and PTO
