    Eye Zen Presents seeks a part-time Finance Associate (15-20 hrs a month/ Min 1-2 hours per week).

    Eye Zen Presents is a theater company who create original productions and community events that unearth and elevate the legacies of LGBTQ+ ancestors. Eye Zen is a fiscally sponsored project of Intersection for the Arts.

    Position Title: Finance Associate

    Reports To: Artistic Director and Grants Manager

    Pay Rate: $35/hr

    Time Commitment: Part-Time 15-20 hr per month, minimum 2hr per week

    Position Type: Part-time, non-exempt employee

    Eye Zen Presents is fiscally sponsored by Intersection for the Arts, all employees are on-boarded by Intersection’s HR team. In order to comply with employment laws as a fiscally sponsored project of a 501(c)(3) organization, applicants must be able to submit an I-9 form with documentation if offered a position.

    Position Description:

    The Finance Associate will support the Artistic Director (AD) and Grants Manager and will work independently and proactively to manage weekly accounting operations and financial reporting. This role includes processing accounts payable/receivable, entering processed payrolls on a monthly basis, tracking grant budgets, and maintaining accurate financial records.

    The ideal candidate brings 2-3 years of accounting and bookkeeping experience, strong Excel skills, Google Suite, Asana (or project management software) and knowledge of nonprofit accounting. Experience in the arts sector is preferred. As a fiscally sponsored project, rather than an independent 501(c)(3), our financial processes work through our fiscal sponsor. This means the Finance Associate will not directly manage bank accounts, process deposits, or work in QuickBooks. Instead, they will coordinate with our fiscal sponsor, who handles these functions and provides monthly financial reports. The role focuses on tracking and reconciling these reports, managing internal financial planning, and ensuring all documentation reaches our fiscal sponsor for proper processing.

    The position offers flexible hours. The Finance Associate meets bi-weekly with the Grants Manager and/or with the Artistic Director. They create their own schedule and work independently and in cooperation with and in support of Company programs and operations.

    Job Responsibilities:

    • Submit weekly payment requests to fiscal sponsor, ensuring all required documentation and coding is accurate
    • Maintain and update monthly Excel activity tracker for all income and expense transactions
    • Perform monthly reconciliation between activity tracker and fiscal sponsor's profit and loss detail report
    • Generate monthly budget versus actuals reports for organizational oversight
    • Cross-reference and validate Budget vs Actuals reports with organizational actuals
    • Allocate expenses from reconciled monthly activity tracker to corresponding grant expense tracking
    • Create monthly balance sheets based on fiscal sponsor's profit and loss all-dates summary report
    • Collaborate with Artistic Director on budget management and financial planning
    • Partner with Grants Manager to provide accurate and timely financial reporting for grant-funded projects
    • Ensure all financial documentation meets both internal and fiscal sponsor requirements

    Essential Requirements:

    • Bachelor's degree in Accounting, Bookkeeping, Finance, or related field and/or 2 years of accounting/bookkeeping experience
    • Proficiency in Excel or similar accounting software
    • Strong Excel/spreadsheet skills
    • Experience with nonprofit fund accounting
    • Understanding of basic GAAP principles

    Key Skills:

    • Grant budget tracking and budget reporting
    • Accounts payable/receivable management
    • Monthly reconciliations and financial reporting
    • Strong attention to detail and organizational skills

    Preferred Qualifications:

    • Previous nonprofit experience
    • Knowledge of arts/cultural sector
    • Experience with Flipcause or similar donor database systems
    • Knowledge of Asana or similar Project Management Software
    • Grant budget management experience

    Required Qualities:

    We are seeking a finance professional who is a clear communicator both in writing and speech, with solid computer and bookkeeping skills and an ability and willingness to manage, prioritize and maintain task lists and deliverables. The Finance Associate meets bi-weekly with the Grants Manager, creates their own schedule and works independently and in cooperation with and in support of company programs and operations.
