    The Organization

    MedServe is a nonprofit organization with a mission to improve the health of medically underserved communities while exposing tomorrow’s most promising future physicians to primary care practice in a way that inspires them to be life-long champions of health equity. We like to introduce ourselves as the “Teach for America, for healthcare.”

    MedServe operates a two-year service program in primary care clinics. It was founded in summer 2015 and has 71 fellows in approximately 40 clinics across North Carolina, from the mountains (Hayesville in rural Clay County) to the beach (Wilmington). Our organization oversees program implementation, recruiting clinics and Fellows, helping insure successful two-year service terms, and helping set Fellows on a trajectory of service in healthcare careers.

    Our program is an AmeriCorps grantee, and has also received support from the NC Department of Health and Human Services, Blue Cross Blue Shield of North Carolina, and the Kenan Charitable Trust, Duke University’s Center for the Advancement of Social Entrepreneurship (CASE) and the University of North Carolina-Chapel Hill’s CUBE.

    MedServe is a young organization that has grown on an exponential trajectory, from napkin idea to existing program in one year and to five-fold scaling in its first four years of operation. It continues to grow and deepen its impact.

    The Team

    MedServe is currently supported by two full-time staff member and consultants:

    • Executive Director: Amanda Gallina, who heads strategy, partnership and growth functions of the organization
    • Deputy Program Director: Amanda Greene
    • Remote accounting Services via Jitasa

    Location

    Role is to be done in a remote work environment, with virtual meetings and the ability to travel and meet in-person for events and trainings. Potential for on-site responsibilities starting in Fall 2022.

    The Role

    The Program Coordinator will provide operational and administrative support helping ensure the efficiency and effectiveness of the MedServe program, carrying out responsibilities in the following functional areas: recruitment and selection, orientation and organizational trainings, program / grants management, member support, and clinic recruitment / management. This individual will work very closely with the Interim Executive.

    Specific responsibilities and activities can include, but are not limited to:

    Fellow Recruitment and Onboarding

    • Collecting & organizing fellowship applications
    • Generating college campus marketing outreach
    • Assisting in helping new Fellows transition into program & communities
    • Editing templates for Fellow job offers, position descriptions, and agreements

    Fellow Training & Education

    • Coordinating Fellow Quarterly Skills Summit logistics
    • Assisting in Annual Training Institute

    Marketing & Communications

    • Creating & sending quarterly email newsletter
    • Managing social media posts
    • Creating and/or compiling marketing materials for events and meetings

    AmeriCorps Grant Compliance

    • Organizing Member Files
    • Assisting in member exit and enrollment activities
    • Ensuring timely submission of AmeriCorps timesheets

    Data Management

    • Cleaning and organizing monthly data from Fellows
    • Creating surveys, compiling results, and analyzing responses

    Team Activity Coordination

    • Scheduling meetings between clinics and MedServe, MedServe and Fellows
    • Managing Calendly and Zoom
    • Supporting planning and logistics of alumni gatherings & networking events
    • Please note: not all activities occur simultaneously. Program Coordinator workload flows through seasonal cycles.

    Requirements

    Prior Experience

    • Bachelor’s degree required
    • Demonstrated success managing projects and/or logistics
    • 2-5 years prior professional experience is highly valued

    Skills / Personal Attributes

    • Ability and comfort with travel, working remotely/independently, and using Cloud-based management and database applications such as Google Drive
    • Clear communication skills and a strong sense of maturity, positivity, and professionalism
    • Interest in nonprofit management and supporting the activities of service year members and young people in service
    • Comfortable with the ambiguity of a small early-stage nonprofit organization & flexible, lean in your operation of core organizational activities
    • Impeccable attention to detail
    • Enthusiasm for the “behind the scenes” work
    • Proficiency in Microsoft Word, Excel, PowerPoint, Zoom
    • Passion for our mission and knowledge about AmeriCorps and/or Primary Care highly valued
    • Dedication to working with people from diverse backgrounds, including but not limited to people of color, white people, indigenous and LatinX, LGBTQ+ and straight and/or cisgender people, and a commitment to creating equity.
    • Ability to pass a criminal history background check of the national sex offender registry and state repository, as required by AmeriCorps
    • Valid driver's license and reliable transportation.

    Work Demands

    • Approximate 40 hour per week obligation (but work hours will vary across months)
    • Ability to travel across the region (2-3 times per quarter)
    • Openness to possibly relocate within the state if needed upon re-opening of office
    • Occasional weekend and evening work required

    MedServe will provide a monthly subsidy of $100 towards the purchase of insurance on the marketplace

    • If you remain insured via another individual’s insurance plan, you are still eligible for this subsidy

    Leave Policies

    • We grant 2 weeks of sick leave per calendar year
    • We grant 15 days (3 work weeks) of PTO per calendar year
    • PTO does not roll over across years and is not paid out upon departure; this is a key way for us to ensure staff utilize their PTO and do not become burned out in the world of nonprofit administration and public health
