Executive Coordinator

This position provides executive-level support to the Executive Director and management team of the American Bar Foundation (ABF), ABF Faculty, and the ABF Board of Directors, and oversees the efficient and effective function of the executive office. The ideal candidate has a customer-service orientation, strong respect for confidentiality, and a collaborative spirit. Essential skills include scheduling, planning, communication, and working effectively with technology. The Executive Coordinator reports to the Executive Director and can expect to take direction from the ABF management team as well.

 

The Executive Coordinator is responsible for the following day-to-day activities, among others:

 

Administration and Project Management

  • Manage key functions of the Executive Director’s office, including scheduling appointments and calendar management, coordinating travel arrangements, processing expense reimbursements and reporting, and filing
  • Prepare information and documents for Executive Director to support successful meetings and presentations
  • Liaise with other departments and organizations to accomplish special projects on behalf of the Executive Director
  • Share front-office responsibilities with Academic Affairs Assistant and Manager of HR & Operations


Coordination of the Board of Directors

  • Manage calendars and schedule meetings and activities for the Board of Directors, the Executive and Governance Committees, and other governing bodies
  • Coordinate logistics ahead of, during, and after each meeting and event
  • Prepare board and committee agendas and meeting materials; take meeting minutes and prepare reports
  • Maintain ABF board and committee lists, orientation materials, and other relevant documents


Support of Academic Affairs

  • Serve as administrative coordinator for Faculty committees
  • Serve as administrative coordinator for the Visiting Scholar Program and related faculty programs
  • Coordinate Faculty recruiting and reappointment process
  • In coordination with Director of Programs and Operations and Academic Affairs Assistant, support ABF academic events, which may include assisting with securing lodging, ordering catering and staffing the event. On rare occasions, staffing is required for evening or weekend events.  
  • Other duties as assigned, including assisting co-workers in programming, facilitation, and administrative tasks as needed

  • Demonstrated sound judgment and ability to maintain confidentiality

  • Excellent computer/technology skills (Microsoft Office, Adobe, familiarity with databases)

 

Qualifications and Experience

  • At least 2+ years of related professional experience
  • Experience managing activities on behalf of a Board of Directors is a plus
  • Experience working at a non-profit or academic institution is a plus
  • Bachelor’s degree or equivalent education and professional experience

 

Work Environment: This is a hybrid position that allows some days working remotely and requires some days reporting to a professional office environment. All ABF staff reporting to the office must be fully vaccinated against COVID-19. This is largely a sedentary role; however, some filing is required. This would require the ability to lift up to 15 pounds, open cabinets, and bend or stand as necessary.

 

Position Type and Expected Hours of Work: This is a full-time, non-exempt position. Typical ABF staff work hours are Monday through Friday, 9:00 a.m. to 5:00 p.m., with a one-hour lunch period. Occasional work outside of these hours is expected in connection with ABF events.

 

Salary and Benefits: Salary starts at $55,000, commensurate with experience. Excellent health, retirement, and vacation benefits, including a 403(b) employer match.
