Essential Job Duties & Responsibilities

The Administrative Assistant will be a part of the Play Mountain Place team, reporting to the Director and collaborating with the Director of Development and other staff. The Administrative Assistant is responsible for supporting the Director in maintaining seamless operations of the school, which includes but is not limited to the following: 

  • Act as first contact to the community, answering phones, greeting visitors and directing them to the relevant personnel, responding to emails, preparing written communication as necessary, processing mail and deliveries, and keeping the reception area clean and free of clutter
  • Support the Director and administrative team in day-to-day operations including by managing time cards, maintaining first aid kits, setting fire drills, etc. (as needed)
  • Organize and maintain office and emergency supplies
  • Undertake enrollment activities, e.g. admissions processing, enrollment schedule management
  • Maintain current school records, transcripts, and student files
  • Maintain archival files
  • Support and attend staff meetings, events, and workshops 
  • Support fundraising events 
  • Coordinate school wide events
  • Work closely with the Director:
  • Maintaining legal regulation compliance and licensing, e.g. legal reporting, criminal background clearances, inspections, and insurance claims 
  • Maintaining/upgrading computers, equipment, and facilities 
  • Coordinating buildings and grounds maintenance, including volunteer work days 
  • Scheduling of the annual school calendar and essential weekly meetings 
  • Maintaining HR compliance, some personnel files, and staff handbook; revising/creating new HR policies as needed; onboarding new hires
  • Administering benefits (open enrollment; medical, dental, vision, PTO) 
  • Managing G Suite administration and apps (Google Drive, Docs, Sheets) 
  • Maintaining/revising school policies, procedures and operations manuals 
  • Prepare reports as needed on programs and projects 
  • Identify challenges to the seamless operation of the organization and propose prioritized solutions to support the Director's and organization's goals

Job Requirements 

The candidate must be a team player who possesses the following:

  • Ability to take ownership of projects from start to successful completion 
  • Excellent interpersonal, written, and verbal communication skills 
  • Authentic enjoyment from being around children, and the ability to connect with students, families, and staff in alignment with the school's values 
  • Computer literacy in G Suite/Office 365 administration and apps (word processing, spreadsheets) and database programs
  • Ability to work occasional evening and weekend hours as needed to support meetings/events 
  • Participation in Play Mountain Place Communications Skills Workshop will be required upon employment 
  • Must be comfortable and professional in handling confidential information
  • Must be comfortable working in a small, casual, family-friendly office space 

Qualifications & Experience

  • Minimum 3 years' experience in a position with a similar level of responsibility, preferably with a school or other non-profit organization
  • A Bachelor’s Degree or equivalent education or work experience
  • Must meet state standards for school and day care employees
