Chinatown Operations Associate - Full Time

POSITION SUMMARY

The Asian Pacific Environmental Network (APEN) is looking for a creative and driven operations professional to help grow the power of grassroots Asian immigrant and refugee communities to advance environmental, social and economic justice. This is a full-time position based in Oakland, CA and will require a small amount of travel. The Associate will report to the Operations Manager, and will work closely with the operations team and Oakland organizing staff.

The Chinatown Operations Associate position has two main responsibilities – 1) to maintain the smooth operation of APEN’s Chinatown field office and 2) to support APEN’s organizing programs. This is an exempt, full-time position. Job responsibilities will require the Chinatown Operations Associate to primarily work from APEN’s Chinatown office with some responsibilities requiring work in APEN’s other offices in Downtown Oakland and Richmond. Job may require some evening and weekend activities.


ROLES AND RESPONSIBILITIES

Administrative Duties (40%)
  • Maintain an orderly & efficient office environment including light cleaning of office, taking out recycling & garbage, space beautification, organizing common electronic and paper files & resources, etc.
  • Perform front desk reception, coordinate office coverage for vendor visits, receive mail, and other organizational admin work as needed
  • Manage field office clerical support, handling mail, getting stamps/postage, filing, and copying
  • Maintain supplies (check inventory, order supplies) and office equipment (refill paper, identify & coordinate maintenance needs & service)
  • Manage vendor contracts specific to field office with Operations Director and Finance Coordinator, including janitorial, interpreters, child care providers, water, copier
  • Communicate & coordinate regularly with the Operations Team, including confirmation of staff meetings, transportation of mail or any important items between offices
  • Manage field office specific technology and planning, includes digital security, troubleshooting field office specific technology issues & coordinating with Operations Manager for technical support
  • Work with Operations team to coordinate logistics for organization-wide activities, including staff planning meetings, board meetings, and support for miscellaneous program meetings 
  • General Operations, includes field office specific orientations

Program Support (45%)

  • Lead logistical support to the organizing team’s work, including coordinating transportation, setting up/cleaning up the meeting space, getting specific supplies, coordinating child care, coordinating volunteers, securing food
  • Provide technology and equipment support at member events
  • Attend at least 75% evening/weekend member events or meetings 
  • Communicate with members as needed, including making member attendance phone calls
  • Manage and provide regular maintenance of the database of APEN members & allies and using org-wide platforms (i.e. Powerbase, Box)
  • Maintain file management systems, including organizing member paperwork, taking & typing notes, and noting attendance
  • Communicate & coordinate regularly with the Organizing Team, including attending regular organizing team meetings

ORGANIZATION-WIDE (15%)

  • Contribute to overall organizational coordination and planning processes, including strategic planning, yearly workplan and budgeting, annual board + staff meeting, bi-weekly staff meetings and component meetings
  • Contribute to the APEN culture of team-building, emotional intelligence, feminisms, and leadership development
  • Engage in grassroots and/or foundation fundraising
  • Act as a spokesperson and engage with communications narrative framework
  • Support various areas of organizational work, events, or campaigns as identified and participate in organizational committees and teams as needed
  • Manage volunteers, fellows, and interns as needed


JOB REQUIREMENTS

  • Commitment and adherence to the mission and principles of APEN and social justice
  • Conversational Cantonese or Mandarin
  • At least 2 years of work experience in an administrative role
  • Excellent verbal and written communication skills, interpersonal skills, and the ability to take initiative
  • Strong administrative, organizational, and computer skills, including Microsoft Office, Google, CRM software
  • Strong motivation and adaptability, including ability to work under pressure and with deadlines
  • A friendly and helpful attitude with a willingness to take on tasks
  • Comfortable working with culturally diverse and monolingual populations, specifically knowledge and awareness of Asian immigrant and refugee community issues


SALARY and BENEFITS

Competitive salary range of $62,500 to $80,000. APEN also offers its staff a generous benefits package that includes health, dental and vision; vacation and sick time; 401k contributions and an opportunity to qualify for a sabbatical. APEN is a family-friendly employer.

 

ACCESSIBILITY AND WORKING CONDITIONS

This position will require applicants to work on a computer daily for long periods of time, and collaborate with staff through Zoom, email, and other digital platforms. APEN will provide a computer and other equipment needed to fulfill basic job responsibilities.

 This position is expected to be remote with some travel until further notice. In addition, this position will also follow APEN’s COVID safety policies and protocols regarding in-person work. Masks are required to be worn in APEN offices and indoor events, with the exception of eating and drinking. All employees also are required to be vaccinated as part of our safety policy or be subject to weekly testing.

 APEN will continue to closely monitor local and state health officials guidance around COVID and any additional guidelines around safety for people to return to offices and gather in-person as needed. 

 This position requires some work during irregular hours including on nights or weekends, and will require on-site work and some travel between offices.
