Descrição

Position Description: The Executive Director (ED) is the key leader of The Still Place. The ED is responsible for overseeing the administration, programs and strategic plan of the organization. Other key duties include fundraising, marketing, grant procurement and community outreach. The ED will be the face of the organization. The ED will have access to support through the Board of Directors, founders, reporting staff, volunteers, and independent contractors as budget allows.  

Hours:  This is a full-time salaried position.  Hours will vary seasonally based on guests scheduled, retreats, promotional events, and other tasks required to complete the job.  This includes working hours which will vary and occur on weekdays, weekends, and evenings. Hybrid work environment possible.

Reports to: Board of Directors

Direct Reports: Program Coordinator, Retreat Director, Housekeeping, Independent contractors and interns as budget allows. Additional staff associated with growth.

Essential Functions

Board Governance: Works with the Board to fulfill the organization’s mission.

  • Responsible for leading the Still Place in a manner that supports the organization's mission and strategic goals as defined by the BOD. 
  • Responsible for communicating effectively with the Board and providing all information necessary for the Board to function properly and make informed decisions

Financial Performance and Viability: Develops resources sufficient to ensure the financial health of the organization.

  • Responsible for fundraising and developing other revenues necessary to support The Still Place Mission
  • Responsible for fiscal integrity including submission to the Board of a proposed annual budget and monthly financial statements. 
  • Responsible for fiscal management that generally anticipates operating within the approved budget, ensures maximum resource utilization and maintenance of the organization in a positive financial position.

Organization Mission and Strategy: Works with Board and staff to ensure that the mission is fulfilled through programs, strategic planning and community outreach.

  • Responsible for implementation of the Still Place programs that carry out the organizational mission with safety and expression of the organization’s core values on a daily basis. 
  • Responsible for the enhancement of The Still Place’s image by being active and visible in the community and by working closely with other professional, civic and private organizations.

Organization Operations: Oversees and implements appropriate resources to ensure that the operations of the organization are appropriate.

  • Responsible for hiring and retention of competent qualified staff.
  • Responsible for effective administration of all aspects of the organization’s operations.
  • Responsible for signing all notes, agreements, and other instruments made and entered on behalf of the organization.

Actual Job Responsibilities:

  1. Execute TSP programming with safety and integrity as a top priority for guests, staff, and volunteers. 
  2. At least monthly, meets with the President to plan activities and coordinate projects.
  3. Annually arrange for and execute a BOD retreat to develop and revise strategic goals.
  4. Regularly, maintain and execute the annual calendar of activities including board meetings and other special events updating as schedule changes in a timely manner.  
  5. Prepare and distribute documents for the Board of Directors to include but not limited to minutes from previous meetings and timely and accurate financial statements including budget to actual, Profit and loss, and balance sheet, executive director report  and updated strategic goals. 
  6. Be involved in Non-Profit leadership organizations including but not limited to NC Nonprofit and WNC Nonprofit Pathways.
  7. Maintain website with updates at least quarterly ensuring information is timely and accurate. 
  8. Develop and implement an annual fundraising plan meeting or exceeding goals established in the Board approved budget.
  9. Identify, complete, and submit at least 3-5 grants per year.  
  10. Coordinate all fundraising events.  
  11. Participate in planned and impromptu donor appreciation opportunities.  
  12. Prepare and maintain accurate and timely financial statements including a budget, grant documentation, and other legally required documents (ie. Payroll tax, 990, Unemployment Insurance, workers’ compensation, occupancy tax, etc.).  
  13. Maintain compliance, solicitation licenses, insurance review in accordance with IRS, NC and organization by-laws, policies and procedures. 
  14. Maintain and Administer Google workspace for nonprofits, project management through Asana, and CRM via flipcause. 
  15. Maintain security of documents including but not limited to donor, family, and volunteer databases.  
  16. Oversee all marketing and public relations including monthly newsletter, local newspaper and media, social media and other marketing as indicated to promote local, regional and national awareness.
  17. Develop and implement an annual marketing plan.
  18. Develop and supervise coordination of volunteer services.
  19. Supervise, oversee and manage as necessary all activities related to family retreats and bereavement retreats and database management including scheduling, retreat delivery and post-visit surveys. 
  20. Oversee photo and video documentation to be shared with family and in promotional materials completed by the Administrative Assistant
  21. Manage employees per organizational structure

Other duties as Assigned :

  1. Provide basic office-related administrative support and job specific administrative duties.
  2. Support as needed for retreats.  
  3. Physically assist families with access in and out of house, vehicles, etc.  

Qualifications:  

The candidate needs to be highly motivated, responsible, and an independent worker.  He/she must have a college degree or a minimum of 5 years related experience preferably in the nonprofit or health care sector. Ability to work a flexible schedule including nights and weekends when needed.  He/she must reflect the values of TSP and appreciate the challenges of families living with the serious illness or death of a child.  Experience with children with serious illnesses, outdoor activities, and administrative skills highly valued.   

Must have working knowledge of Apple products, database management, Excel, Google suite, Canva, Facebook and other similar software.
