Development Coordinator

BALLROOM BASIX (BBX) is nonprofit arts-in-education initiative dedicated to nurturing the social, emotional and physical well-being of schoolchildren, transforming the landscape of the classroom by instilling values of kindness, cooperation, camaraderie, acceptance, self-esteem, courtesy and respect in our young, diverse students through the poise and politeness of noncompetitive “Ballroom, Latin, & Line” dancing.

BALLROOM BASIX USA, Inc.(BBX) is seeking a Development Coordinator who brings a foundation of 2-5+ years nonprofit/development experience.

This individual will work closely with the Executive/Artistic Director and an enthusiastic, dedicated Team which includes a Media Manager,  Operations Manager, Outreach/Projects Manager, Government/Council Relations Manager, Program Coordinator, Staff Assistants and Financial Coordinator. The Development Coordinator will represent BALLROOM BASIX to the New York/New Jersey community to support the meaningful mission of the organization.

Responsibilities include:

Grant Coordination 

1. Facilitate grant writing, research and submission processes
2. Collaborate with team on grant proposals.
3. Participate in grant tracking and final report process.
4. Develop and maintain ongoing relationships with funders

Donor Outreach and Communication

1. With Executive Director (ED) and Team BBX, plan annual strategy, including fundraising appeals,  newsletters, donor e-blasts and mailings
2. Manage Development Calendar & Task Tracking
3. Work with ED and Media Manager to develop Marketing Materials and Newsletters
4. Coordinate and generate donor acknowledgement letters/emails
5. Maintain donor database (Little Green Light); update contacts, demographic data and donation history. Expand donor database.
6. Track progress of fundraising campaigns, and provide summaries of outcome(s)
7. Under direction of ED, steward specific existing donors with personalized communications

Outreach and Events

Events

1. Assist with BBX’s Annual Gala Plan, including invitations, Invitees, table assignments
2. With Operations/Finance, help coordinate logistics, purchasing and donations
3. Manage volunteers for the event, including pre- and post-event communications.
4. Act as BBX point person for day of event
5. In future year, Development Coordinator would take on greater responsibility in Gala event production

Outreach

1. With Outreach Manager and supported by Media Manager, develop relationships with supportive organizations, groups, associations, etc; Strategize and collaborate to convert organization supporters into involved supporters/donors
2. Initiate, develop and coordinate with a new Junior Board, including the planning and execution of engaging events.

Administrative 

1. Participate in Team meetings, training, special projects, etc.
2. Provide weekly reports: grants identified; grants submitted; prospective donors identified and contacted; prospective foundations identified and contacted

Qualifications:

• Experience (and success) in the grant processes, including: research, collaboration, grant writing, coordination, tracking, etc.
• Self-Starter who can follow through on opportunities
• Clear concise writing style
• Database/Google Drive experience (Little Green Light a plus)
• Pleasant, polished, professional communicator (Spanish a plus)
• A personal/professional commitment to support and co-implement DEI initiatives

The Development Coordinator will initially start part-time, approximately 20-25 hours per week with flexible business hours. After an initial period, full time work could be considered. While our work is mostly remote, a NYC metro region individual is preferred. Availability for events (in person) would be required.
