BACKGROUND & DESCRIPTION 

The Women Presidents Organization (WPO) is a dynamic and diverse collective of women business leaders around the world who share insight in groups facilitated to drive game-changing experiences. Peer learning groups, conducted in a proprietary roundtable format bring together leaders from diverse, noncompetitive industries to share business expertise and experience in a confidential setting. Through the WPO, accomplished women entrepreneurs get exclusive access to entrepreneurial equals, innovative ideas, and executive education.  The precious ability to tap into the wisdom of their peers offers support, empowerment, and inspiration. 

Working for the WPO gives you a unique opportunity to access women entrepreneurs from around the world, across all industries. You will be able to listen to real-time business issues they are facing, and witness decisions they make from the ground floor. You will also have access to webinars and educational materials that our members receive.  

We are looking for someone who is a thorough worker, leaving nothing to chance. Your strong customer service skills combined with your focus on producing high-quality, detailed work will make you shine in this role. 

RESPONSIBILITIES  

  • Reports to Chief Innovation & Programming Officer  


  • Execute events and programs, in-person or virtually: Platinum & Zenith meetings (30+ meetings per year), assist with the 50 Fastest Women-Owned/Led Businesses Awards, and other events as needed 


  •  Plan and execute Platinum & Zenith meetings  
  • Work with hotels, speakers, members, Chapter Chairs and vendors to plan logistics for virtual and in-person meetings, including being main contact with hotels, restaurants, transportation companies or other vendors as needed. This includes sourcing restaurants, activities and vendors in cities across the US & Canada and at times, internationally.  
  • Review hotel and restaurant contracts prior to final sign-off by management 
  • Communicate all logistical details to Chapter Chairs and members. Create detailed meeting agendas and run-of-show documents to provide to the Chapter Chairs and other vendors as needed 
  • Virtual Meeting Administration on Zoom: make sure members, Chapter Chairs and speakers have the correct information, manage breakout rooms, troubleshoot issues, etc.  
  • Manage payment schedules and reconcile speaker and vendor bills  
  • Keep track of members’ guests who may attend a dinner or activity, and coordinate the related payment for these activities 
  • Keep organized files with all event details, expenses and invoices per meeting 
  • Review member feedback and surveys and compile data for Chief Innovation & Programming Officer 


  • Act as main point of contact with Platinum & Zenith members and Chapter Chairs: 
  •  Answer questions, share logistical information, and help with other customer-service related issues as necessary 
  • Create and send surveys and collect data to help plan meeting logistics and future meetings 
  • Email and call members and Chapter Chairs as necessary to ensure they have the correct information prior to a meeting 

 

  • Assist with the 50 Fastest Women-Owned/Led Businesses Awards: 
  • Create and monitor application process 
  • Manage fact-checking process, including detailed tracking documents and spreadsheets 
  • Coordinate with sponsor on a regular basis, ensuring clear communication and weekly objectives are met. 
  • Communicate details and logistics with cohort of 50 Fastest applicants and winners. 

 

  • Travel is required for certain events throughout the year, including but not limited to: the Entrepreneurial Excellence Forum, Platinum & Zenith meetings and other programs as needed. Travel will not exceed 10 trips per year.  
  • Assist with planning travel for WPO staff who will attend events. 
  • Design and format agendas, meeting invitations or other promotional materials 
  • Manage the chapter-pages for all Platinum + Zenith chapters in the WPO member portal 
  • Other duties as assigned 


REQUIRED SKILLS & QUALIFICATIONS 

  • Education: Bachelor's degree  
  • Experience: 5+ years of event planning experience 
  • Excellent critical thinker with the ability to make decisions and judgement calls 
  • Excellent verbal and written communication skills  
  • Ability to work independently, efficiently and can prioritize workflow 
  • Highly organized with excellent follow through skills 
  • Superior attention to detail 
  • Ability to attend occasional early morning or evening events, either virtually or in-person 
  • Experience with Microsoft Office (Word, Excel, Outlook) and Zoom 
  • Experience with HubSpot and Adobe design suite a plus 
  • Experience working remotely on a team, a plus
