Position Title: Treasurer

Purpose: The treasurer is custodian of the chapter’s funds and is responsible for keeping accounts and dispersing funds in accordance with the board’s direction and policies. 

About: The Highline SeaTac Botanical Garden is a one-of-a-kind heritage garden created to preserve some of the area’s most treasured gardens. The Garden's mission is "Connecting the community to nature through a diverse and beautiful collection of historical gardens”. The Highline Botanical Garden Foundation was incorporated in 1999 to support an eleven-acre botanical garden in North SeaTac Park in the City of SeaTac, WA. The garden includes- an English style shade garden, rose garden, Japanese garden, orchard, green house and propagation area, and community garden. Within each of these gardens are rare perennials, natural paths, open lawns, native woodlands, ponds and water features. The Highline SeaTac Botanical Garden is community asset, we welcome all visitors and provide a refuge to relax and enjoy nature’s beauty. Key Responsibilities:

·      Bookkeeping services - Bookkeeping (up to 50 monthly transactions) Bookkeeping activities will be conducted on behalf of the HBGF to ensure that all financial information is up to date. This includes: Monthly reconciliation of bank and credit card statements up to 50 transactions

·      Invoicing/sales receipts in QuickBooks Deposit of checks into bank account. Perform detail review of accounting activity to ensure that items are coded correctly.

·      Monthly report for board meetings including profit & loss and balance sheet. Reconcile balance sheet account periodically.

·      Prepare Federal tax returns Troubleshooting & support *1099-MISC forms at year end. Work with Executive Director to streamline processes.

·      Budgeting for a detailed 12 month Forecast and Budget broken down month by month. This includes: Cash Flow forecast for the period Income statement (Profit and Loss) forecast for the period Balance sheet forecast for the period. This will be in a format suitable for board presentation.

·      Bill Pay Services including processing of approved invoices, including entry of bills into QuickBooks. Printing checks and sending to vendors.

·      Payroll services – Payroll for 4 contract individuals. Prepare payroll to meet US employment tax requirements. This includes: Calculate and process bi-weekly Payroll for individuals.

·      Prepare 990 Exempt Organization Tax Return. This includes: Preparation of Exempt Organization Tax Return and all related schedules. Apply for and maintain the tax-exempt status of the Garden.

·      Manage grant reimbursements.

·      Responsible for investing the organization’s funds and making sure that they are following all federal, state and local laws.

·      The treasurer chairs the Finance Committee, which is responsible for preparing an annual budget, based on Executive Committee guidelines and suggestions.

·      Leads the board and the Finance Committee in developing financial best management policies and practices including goals, objectives, and annual plans.

·      Prepare annual State filing (May 1). Prepare annual state non-profit charitable solicitations filing (November).

·      Provide leadership and ideas for fundraising initiated by the board for programs.

·      If the chapter has a substantial budget, arrange for an annual audit, and submit it to the board.

Qualifications: The treasurer must display a commitment to the organization and an understanding of the organization and its principles, mission, goals, services, and the responsibilities and relationships of governance of financial responsibility. The treasurer will display the following:

·      CPA certification and nonprofit organization financial management experience.

·      Ability to manage bookkeeping, grant financing, finance committee.

·      Create a safe environment for decision-making.

·      Ability to explain financial concepts and articulate ideas.

·      An ability to successfully work with and maintain a productive relationship with the executive director, staff and board members.

·      Serve as an active advocate and ambassador for the organization and fully engage to advance the HBGF mission.

·      Prepare for, attend, and conscientiously participate in board meetings.

·      Participate fully in one or more committees

·      Adherence of the Articles of Incorporation and Bylaws.

Responsible to: The board of directors, Highline SeaTac Botanical Garden membership, and the public.

Length of Appointment: The term is 2 years.

Time Commitment: Approximately 40 hours per month.
